The Candidate Volume Optimizer (CVO) can be used to control the number of candidates flowing into a job's Candidate Journey. When a set number of candidates reach a certain stage of that Journey, then your AI Assistant can either automatically close the job or notify the hiring manager that the threshold was met.

This feature helps to manage high candidate volume in order to optimize hiring manager productivity and to redistribute candidates to other roles that need more applicants.

While the CVO is used to take action when a set number of candidates reach a certain stage of the job’s Candidate Journey, the Number of Hires threshold can complete the same actions when the set number of candidates reaches the predetermined Hired stage of the job’s Candidate Journey. Learn more about Number of Hires here.

    Use cases

    • A store owner who wants to monitor a job’s candidate pool and close the job at the right time.
    • The hiring manager wants a dedicated number of interviews to take place before the job is closed.
    • A hiring manager wants their AI Assistant to monitor the count of candidates in the journey and inform/notify them if it’s going off-limits.
    • A company has too many candidates applying for one job, and they want to distribute candidates more evenly across all the available jobs.

Candidates may apply to one job more than another because the job is popping up as the top result of job search. Once this job closes based on the predetermined number of candidates who enter a set stage, new candidates will be presented with other jobs in job search and better their chances of moving forward.

    Configuration

Determine which jobs you'd like to enable this feature for and the default threshold value for them. Then, contact your CS Representative with this information and for assistance in configuring this feature.

If you are using the Candidate Volume Optimizer feature, then an additional field will be included in the job posting modal. Click here to learn more.

    Volume control process

Once a job is targeted and the inputs are given, your AI Assistant will have a count of the candidates who reached that specific status. When the count becomes equal to the threshold value, the action selected during configuration will be taken.

    Notifications

Once the threshold is reached, the action set during the targeting rules will take place. You will be notified regardless of whether the threshold was met or if the job was turned off.

    Permissions

Any user who has access to the job will be able to enter or edit the threshold values for a job in My Jobs.

    FAQs

Will a user be able to delete this functionality for a specific job?

No – you will have to contact your Company/Account Admin or CS Representative to remove the targeting for a specific job.

Can I use this functionality on 2 different stages for a same job?

No. Currently, we can set limits on only one stage for a job. Example: For job 1234, your AI Assistant will close the job after 5 candidates reach the Interview Scheduled status.

What happens to candidates that are in the Candidate Journey when the job is turned off?

They will automatically go through the Candidate Journey. This functionality will only close the job or notify a hiring manager when needed, but the candidates already in the journey will not be impacted.

What are the impacts if I edit the threshold or status for a targeted segment while a few jobs are on?

This edit will be applied to only the jobs that are being switched on from that point. Any jobs already on will not have any impact and will follow the old version of threshold/status.

Can I configure this on custom stages?

No. This functionality can only be configured on standard stages (ex: Capture, Scheduling, Hire, etc).

If my team is using the Manual Candidate Mobility feature, will a candidate be moved into a job update the Hiring Goal count?

Yes, but only if they have met the status associated with that Hiring Goal.
