Can I stop a drip campaign from continuing to send once it's been sent?

    A drip campaign is the ability to send a series of single campaigns continually into the future based on a set of rules to let candidates or users enter into the drip campaign.


    Use cases

    • Users who want to send automated campaigns out continually into the future.
    • Users who want to use drip campaigns to outreach continually to a type of candidate or user, such as when those candidates or users hit a certain metric (e.g. days from last contact, days from initially created in the system, status = capture complete, status = interview cancelled, etc).

    Create a drip campaign

    1. Select the All Apps button in the top left corner of the header and then Campaigns in its drop-down menu.
    2. The Campaigns page will then open. Click + Create New Campaign in the top right corner of this page.
    3. Select Drip Campaign from the modal that displays.

    Channel & Audience section

    1. Name your campaign.
    2. If the Multi-branding feature is enabled in your account, select the brand associated with this campaign.
    3. Select the preferred delivery channel you want to send the campaign through. Options include:
      • Communication Preference – The recommended channel to select, which ensures candidates receive the campaign via their single preferred channel (SMS or Email) to maximize reach while honoring individual choice.
      • SMS – Candidates receive the campaign via text message only if SMS is explicitly listed as their preferred communication method.
      • Email – Candidates receive the campaign via email only if Email is explicitly listed as their preferred communication method.
    4. Select the candidate audience using + Add Filter, then add or update any additional filters and the Candidate Timeframe as needed. For details on channel options, audience filter types, upload instructions, and audience size limits, read Campaign's audience builder.
    5. Select View Audience to preview the candidates within your filters.
    6. In the upper-right corner, select Next to move to the next section.

    Important Note: Status changes cannot be made to Campaign-only candidates on their Candidate Profiles. If an associated application or event is tied to their profile, then you can make status changes from those tabs, but not from the Campaigns tab.

     

    Steps section 

    1. Select + Add Step.
    2. In the Add Step modal, either select:
      • Create a New Step
      • Use an existing step template
    3. In the lower-right corner, select Confirm.

    Selecting an existing template will give you the option to choose from a list of campaigns you’ve previously used in the past on this account. Templates included in this list are based on the audience (user or candidate) selected in the Channel and Audience section.

     

    Channel & Audience subsection 

    1. Name your campaign.
    2. Repeat steps #7-9 to add additional filters to your audience.
    3. In the upper-right corner, select Next to move to the next section.

    Associate Event subsection (optional)

    If you want to associate a campaign with a specific event:

    1. Toggle on the Associate campaign with an event toggle.
    2. In the Event selector that appears, select the event that you want associated with your campaign. This can be an upcoming or past event.
    3. In the upper-right corner, select Next to move to the next section.

    Compose subsection

    1. Select the persona you want users to receive the campaign from by selecting the Sender.
    2. Select your campaign type. Options include:
      • Message campaign
      • Conversation campaign
      • Talent Community campaign
      • Survey campaign
      • Scheduling campaign
      • Event invitation campaign
    3. By default, an introduction message will display on the righthand side of the screen, which will be updated if a messaging template is selected. Review and edit this message if needed.
      • Note: View a mock mobile phone/email preview by navigating between the SMS and Email tabs.
    4. Open the Email tab and update the subject line for this campaign’s email communication.
    5. (Optional, but encouraged) Select Send a Test from the bottom left corner of the builder to send a test of the campaign to a specific email or phone number.
    6. In the upper-right corner, select Save Step to save your step.
    7. To add additional steps in the drip campaign, select + Add Step from the Steps section.
    8. Repeat steps #14-26 as needed.
      • Note: In the Steps list view, you can reorder the campaigns select the three-dotted menu on a step’s row and complete the following actions:
        • Edit – This takes you back to the step builder.
        • Duplicate Step – This is available for campaigns of all statuses and creates an exact copy of the campaign.
        • Delete – This deletes the step.

    You cannot reorder the first campaign step, but you can reorder the following steps.

     
    1. In the Delivery Time column, specify the delay before the next campaign sends. You can select from these options:
      • # day(s) later
      • # week(s) later
      • # month(s) later
      • As soon as they match

    The first campaign in the list will always send immediately once scheduled and when matches are made in the future.

    For all subsequent campaigns, the As soon as they match option means the campaign will send immediately after the previous campaign in the sequence is sent.

     
    1. In the lower-right corner, select Apply to set your delivery time.
    2. In the upper-right corner, select Next to move to the next section.

    Schedule section

    1. In the Begin Drip Campaign section, update the following details:
      • Date
      • Time
      • AM/PM
      • Timezone
    2. (Optional) You can enable or disable End Drip Campaign. If enabled, update the following details:
      • Date
      • Time
      • AM/PM
      • Timezone

    Campaigns associated with events: If the campaign is associated with an event, then drip campaigns will always send regardless of the event’s status (upcoming or past). If you want to stop any of the campaigns, ensure to add an end date.Pause campaigns: At any time, you can pause the campaign if you no longer want the drip campaign to send. Pausing can be done at any time within the drip campaign metrics page or from the home page of campaigns.

     
    1. In the lower-right corner, select Schedule.
    2. In the Schedule Campaign warning modal that opens, click Confirm to officially schedule the campaign or Cancel to return back to the Campaign Builder.

    The Processing section displays all of the campaigns that are in process. You can see the campaign’s progress towards completion in this tab.

     

    Metrics and engagement

    You can select a drip campaign from the Campaigns page to view its metrics. In the left panel, you can navigate to the different campaigns that are part of the drip campaign, viewing their specific metrics. The campaign type is indicated by the icon.


    Pause and resume a campaign

    You can pause Active and Scheduled campaigns from the selected row’s action menu, or the three-dotted menu. Select this to open a dropdown menu where you can select Pause Campaign.

    You can resume campaigns by selecting the row’s action menu, or the three-dotted menu, and then selecting Resume Campaign from its dropdown menu. If you’ve just resumed a drip campaign, it will send to current and future matches, not past matches or past matches that were missed during the period it was paused.


    Permissions

    Access to sending a campaign is based on the Campaigns permission. By default, Company/Account Admins, Full User - Edit Everythings, Power Users, and Franchise Owners will have full access to this permission.

    The Access to All Campaigns child permission under the Campaigns parent permission allows you to grant users access to all campaigns in the account or restrict users access to only their own campaigns with the below access levels:

    • Full Access: User can view and edit every campaign.
    • No Access: User can only view and edit their own campaigns that they’ve created.

    FAQs

    How are drip campaigns different from one-time/single campaigns?

    Drip campaigns include a series of campaigns that send over a set delivery schedule and to current and future candidates/users who fit the audience criteria. These campaigns have an initial start date and either no end date or a designated end date, whereas a single or one-time campaign is sent only once at a designated time.

     
     

    Can I stop a drip campaign from continuing to send once it's been sent?

    Yes! You can pause a drip campaign at any time. It is important to note though that if it is paused within 15 minutes of sending, it will still send to anyone that meets that campaign's audience criteria. Once your drip campaign is paused, it will appear in the Paused tab. You can resume the drip campaign from this tab. If you do resume a drip campaign, it will resume and continue to send to future matches. If any candidates were missed during the period of time when it was paused, then they will not receive the campaign, unless they continue to match the rules at the time of resuming.
