Assistant Messaging: Edit, add, and delete messages

You can edit, add, and delete messages in Assistant Messaging to fit your team's needs.
Edit Messages
Assistant Messaging uses a three panel layout:
- Lefthand panel – System area topics.
- Middle panel – The messages within the selected topic.
- Right panel – The message editor for the selected message.
To edit a message:
- From the lefthand panel, select a topic.
- Select the desired message from the middle panel.
- If the message is available across multiple communication channels, select the channel you want to edit using the tabs above the editor. Each channel has its own independent version of the message.
- In the message box, select into it and make your edits.
- In the upper-right corner, select Save.
Email formatting
When editing email messages, you can apply bold, italic, and underline formatting to text. These options can be combined. This formatting is also preserved when content is exported or imported.
Email subjects and titles do not support text formatting.
Embed hyperlinks
You can embed hyperlinks in email messages only by selecting the hyperlink icon and entering a URL and display text. Candidates and users can then select the text to open the link.
Hyperlinks are also preserved through Assistant Messaging exports and imports.
WhatsApp templates
When you select WhatsApp as the communication channel, you can select a template in the dropdown menu of the message editor. Only Meta-approved templates are displayed.
To remove a template, open the dropdown and select No Template to revert the message back to its original state.
Update translations for multilingual accounts
When you save an edit to an English message and have multiple languages configured in the account, the Update Message modal displays with the following messages:
- Apply this change to English message only: This saves the edit to the English version only.
- Apply this change to all configured languages: This translates and updates the messaging for other languages. When selected, use the dropdown to select all desired languages, and then select Apply.
Select Confirm to apply your multilingual messaging.
When a WhatsApp template is updated for an English message, the same Update Message modal displays. You can select the same options as above, but the selected template must be available in the language for the update to apply.
Add messages
Depending on the topic, you can add multiple messages for the same topic. The AI assistant sends additional messages when a candidate provides an invalid response to the first one.
To add a message:
- Select a topic from the left panel.
- Select the specific message from the middle panel.
- If the message is available across multiple communication channels, select the channel you want to edit using the tabs above the editor.
- If multiple communication channels are available, select the desired channel using the tabs above the editor.
- Select + Add Message.
- A new message box labeled Message 2 displays. Enter the new message.
- Repeat steps #5-6 to add more messages as needed.
- In the upper-right corner, select Save.
Note: The Manual Candidate Mobility feature (Move to Job / Invite to Apply) supports one invitation message only.
Delete messages
You can delete both default and additional messages, as long as at least one message remains.
- Select a topic from the left panel.
- Select the specific message from the middle panel.
- If multiple communication channels are available, select the desired channel using the tabs above the editor.
- Select the trash icon next to the desired message to delete it.
- In the upper-right corner, select Save.
Show Additional Times messaging
When the candidate is provided an additional times link via web, either through the #view_more_time_url token or if a calendar link is opened to a web browser to view the conversation, the URL will be hidden and the View Additional Times button will display in its place.
