    You have the option to create custom teams of assistants that can be used to target a specific location or URL. This ensures that specific assistants respond to a candidate when the set conditions are met. These teams of assistants live within the Assistant Teams tab of the CMS.


    Configure assistant teams

    Step #1: Add assistant teams

    You can have one or multiple AI Assistants in one team.

     
    1. Select All Apps in the top left corner of the header and then CMS from its drop-down menu.
    2. From the left panel, select AI Assistants and then Candidate Assistants.
    3. Navigate to the Assistant Teams tab in the section that opens.
    4. Select + Create Team in the upper-right corner of the section.
    5.  In the drawer that opens, name the team and then click Create.
    6. Repeat steps #4-5 for each team that you want to add.

    The teams will be added to the list. By default, Olivia will be included in each team as the default assistant.

    Step #2: Add AI Assistants

    You can add AI Assistants in one of two ways:

    • Create a new AI Assistant – Expand the preferred AI Assistant team and then click the add assistant icon to the left of the team's expand icon. When selected, a slide-out drawer will open where you will be able to enter the details for your new AI Assistant.
    • Move an existing AI Assistant – Assistants can be moved easily from the My Assistants list or another assistant team. To do this, hover over the preferred AI Assistant’s row, select the row’s ellipses, and then select Move to Another Team. A modal will then open where you can select the preferred team.

    Prioritization Logic. It is important to note that the prioritization logic applied in the My Assistants tab is also applied to individual assistant teams. Assistants should be listed in the order by which they should be prioritized when a location is tied to multiple assistants, and a candidate from that location begins to converse with them. The AI Assistant listed first in the list that is associated with that location will be the selected assistant to communicate with that candidate.

     

    Step #3: Create target audience

    You will need to create the target audience for your assistant team(s).

    1. From the left panel of the CMS, open the Audience Builder section and then Candidate Audiences.
    2. Select + Add Audience in the upper-right corner of the list.
    3. Name the audience.
    4. In the Targeting Rules selector, select either Detected Location or Page URL.
    5. Set the Matches option and enter the Input field.
    6. If preferred, build out any level of complex conditions for this audience.
    7. An Assistant Team selector will display below the Targeting Rules. Select the assistant team that you want to show to candidates based on the set criteria.
    8. Click Create to add the audience.

    Step #4: Set audience’s start message

    Set the start message that will be used for the audience created.

    1. From the left panel of the CMS, open the Candidate Assistant Responses section and then its Candidate Q&A subsection.
    2. Search for Start in the search bar.
    3. Click into the sample question named Start. 
    4. In the new page that opens, click into the Audience selector and then select the + Add Audience button in its drop-down menu.
    5. Select the preferred audience and then Apply.
    6. The audience will then display in the Audience selector's drop-down menu. Select the audience that you added in the previous step.
    7. In the middle of the page, enter in the start message that your AI Assistant will use when the targeted audience is detected.
    8. Select Save Changes in the bottom of the left panel.
    9. Ensure to publish the CMS to mark the response(s) as active.

    Edit assistant teams

    Besides moving assistants from one assistant team to the other, as described in step #2 above, you can also edit the assistant team's name. To do this, follow the steps below.

    1. Select All Apps in the top left corner of the header and then CMS from its drop-down menu.
    2. From the left panel, select AI Assistants and then Candidate Assistants.
    3. Navigate to the Assistant Teams tab in the section that opens.
    4. Click into the preferred assistant team's row.
    5. Select the team's title or the pencil icon next to the title.
    6. Hit the Return or Enter key on your keyboard to save any changes.

    Permissions

    Users will need the following permissions to complete the above steps:

    • A.I. Assistant – Full access allows users to create and edit assistants and assistant teams and prioritize assistants.  
    • Audience Builder – Full access allows users to create the preferred audiences and tie them to specific assistants.
    • Candidate Assistant Responses – Full access allows users to assign a start to a specific assistant.
