Use this page to assist you in understanding permissions around accessing different system features/functionality.
Candidate Profile
In order to access the Candidate Profile, you will need access to the candidate’s job and location.
Viewing too many candidates
- Users who interview a candidate will always see that candidate’s profile, even if the candidate is moved to another job that they don’t have access to.
- Users who message a candidate will always see that candidate’s profile.
- When using requisition-based permissions and group/location permissions, a user will see candidates who fall into all of those categories. To prevent candidates outside of assigned requisitions from displaying, contact your CS Representative.
Having limitations on the Candidate Profile
Users must have the Manage permission on the candidate's Journey in order to complete the below actions:
- Edit a form from the Candidate Profile.
- Take action on a candidate (update their status, send forms, etc.) in the Action Needed folder.
- View the candidate’s screening questions (they display as masked when the user is a full access user and the data privacy security masking is off).
If you suspect that you do not have this permission, then contact your CS Representative for assistance.
Access to a job
- If users are unable to see a job in My Jobs:
- Check to see if the correct user roles are listed on the Hiring Team section of the job.
- Check to see if the user is tied to the user roles added on the Hiring Team section of the job.
- If users see a job they shouldn’t in My Jobs:
- Check to see if the users have access to old requisitions when the client is using requisition-based permissions.
Error while updating user details

If you are unable to update user details manually or if you see an Unable to update user due to multi-account access error, this is due to you having access to 2+ CEM accounts. This was a security update made to prevent bad actors from gaining additional access to the CEM without the impacted user knowing. Click here to learn more about this error and how to resolve it.
