Sending messages to candidates using messaging templates

Messaging templates are templated responses that can be sent to candidates within the conversation box of their Candidate Profile. Default responses are available for use, but additional responses can be built and utilized by team members when needed.
Candidate Inbox
- For users that have both access to the Candidate Profile and the use of messaging templates within the conversation, they can access English messaging templates in one of two ways:
- Click # next to the free text field or click into the free-text box and then Templates that opens above the box to select the message that you want to send.
- Type # in the free text field and then either select the preferred message or type in the messaging template name (e.g. #apply).
- When a template is selected, the message will auto-populate the text field. Edit it, if preferred and given the correct permissions.
- Note: The character counter will turn orange and a warning message will display under the text box when you have entered an input greater than 160 characters for SMS.
- In sending the message, you will then have two options:
- Send Now – If the user wants to send the communication immediately, then they can click the blue send arrow.

Send Later – If the user wants to send the communication at a later time, then they will need to complete the steps below:
- Select the Send Later button that appears above the message.
- In the modal that opens, select the date, time zone, and time that the message will be sent.
- Select Schedule in the bottom right corner of the modal.
- The scheduled message will then be listed above the free text field with the option to View the message, if needed.
Edit or remove a scheduled message
To edit or remove scheduled messages,
- Open the preferred Candidate Profile.
- In the Conversation box, select the View text listed to the right of the scheduled message.
- A slide-out drawer will open where you can edit the message or remove the scheduled message entirely by clicking the trash can icon in the top right corner above the message.
- Once the desired change is made, click Save in the bottom right corner of the drawer.
Multilingual templates
Multilingual templates will display in English from the Candidate Inbox. When templates are sent to the candidate, they will be auto-translated to the candidate’s preferred language.
Campaigns
Messaging templates can be used in campaigns when selecting Message as your Campaign Type. A Messaging Template selector will then display. You can either:
- Select a template from a list of all templates marked for Campaigns, which will auto-populate the preview portion of the screen. You can then edit the template from this preview for this message only.

Type a custom message into the message box within the preview.

Notes:
- If you paste text into this box that is beyond the character limit, then a red negative number of characters will display in the bottom right corner of the box, indicating that this message is over the character limit.
- When you have entered an input greater than 160 characters for SMS, then the character counter will turn orange and a warning message will display under the text box.

Logic to note
- The #recorded-interview-invite-url token is available for Candidate Inbox and Campaign Messaging Templates, but its value will only display in its place after a recorded interview is sent out.
Multilingual templates
Language translations for a messaging template can be selected from the multilingual icon listed to the left of the Next button. If multiple language translations are selected for the campaign, then the default English message will display in the preview section.
If you have selected additional languages, but the English template selected for this campaign was edited and does not have that same language translation, then a modal will open that, when confirmed, will automatically translate the message to the selected languages.
Edits made to this messaging template will only be applied to this specific campaign and not to the original template.
Permissions
Permissions to messaging templates are granted on the template within the CMS. Contact a user with full access to Messaging Templates to adjust permissions, as needed.
