    Paradox Analytics is a completely rebuilt analytics experience designed to make recruiting reporting simpler, faster, and truly self‑service. With Paradox Analytics, you'll need to transition your legacy reports to the new tool.


    Before you start

    Make sure you have access.

    Your ability to create, edit, schedule, and share reports depends on your role and permissions. If you don’t see the options described below (like + Create New), contact your Paradox admin or CSM so they can confirm your permissions.

    How data access works.

    Your reports only show the data you’re allowed to see in the core Paradox platform (CEM). If a job, candidate, or location is restricted from you in the CEM, it will also be restricted in your reports. Reports automatically respect your existing permissions.

    What about my legacy reports?

    Legacy reports are not being deprecated yet. You can continue to use them while you get comfortable with the new Report Builder. When a formal sunset date is set, we’ll notify all clients well in advance and provide clear guidance.


    Step 1: Go to the Report Builder

    1. Select the All Apps button in the upper-left corner of the page and then Analytics in its drop-down menu.
    2. In the left pane, select Reports & Charts > All (or All Reports).

    You'll now see a view where you can:

    • Choose from a system template, or
    • Click + Create New to start from scratch.

    Step 2: Decide how you want to build your report

    You have two paths.

    Option A: Start from a report template (recommended)

    Use this if you want a faster starting point with key fields and metrics already pre‑selected.

    1. On the Create New Report page, under System Templates, choose the template that best fits your use case. For example:
      • Candidate-Wide – candidate details and application history
      • Job Current – active job details
      • Interviews – interview schedules and outcomes
      • Talent Community, Campaigns, Events, and more
    2. Click the template to open it in the Report Builder.
    3. On the next page, you’ll see a list of metrics and fields that come with this template. By default, everything is selected.
    4. Deselect any fields or metrics you don’t need by clicking on them.

    Cleaner Migrations:

    If you’re trying to answer a very specific question, it can help to deselect all fields/metrics and then add back just one or two to start. This keeps the report focused and easier to validate against your legacy version.

     
    1. Click Continue (or proceed into the builder) to move into the main Report Builder view.

    You now have a working report based on the template, which you can customize further.

    Option B: Start a report from scratch

    Use this if you have a very specific use case or want full control over the structure from the beginning.

    On the Create New Report page, click + Create New instead of picking a template. In the Report Builder, you’ll see three main sections in the left panel:

    • Metrics – aggregated values (e.g., number of candidates, offers sent)
    • Fields – individual data points (e.g., candidate name, status)
    • Filters – criteria that narrow down your data

    1. Add metrics first (strongly recommended)

    1. Click the + next to Metrics.
    2. Search or scroll to find key metrics (e.g., Total Candidates, Offers Sent, Hires).
    3. Click Add next to each metric you want to include.
    4. Start with 2–3 key metrics that matter most for your question.

    ❗ Important compatibility note (made simple): Once you start adding metrics and fields, the builder only shows options that are compatible with what you’ve already selected. In practice, this means:

    • If you add metrics from a specific category, you’ll mainly see fields that make sense with that category.
    • Unrelated metrics/fields may no longer appear in the picker.

    Think of it as the tool helping you avoid combinations that don’t logically go together.

    Search Smarter

    The new data model includes many more fields and attributes, especially for enterprise clients. Instead of scrolling long lists, type part of the field name in the search bar.

    • Use fewer words/characters for better results (e.g., search “locat” instead of “job location US only”).
    • This is especially helpful for custom fields with longer names.
     

    2. Then add fields

    1. Click the + next to Fields.
    2. Choose a category (e.g., Candidate, Job, Location).
    3. Click Add next to any fields you want to include in the report (e.g., Candidate Name, Job Title, Location, Status).

    If you start with only fields and no metrics, you won’t be able to add metrics later to that same report. For most analytics use cases, it’s best to start with metrics, then add fields.

     

    3. Custom attributes

    Any custom attributes configured for your account are available to use as fields and filters. They’ll appear alongside standard fields, usually grouped under the relevant category (for example, custom candidate attributes under Candidate, custom job attributes under Job).

    Your basic report structure is now set: you’ve defined what data you want to see (fields + metrics).


    Step 3: Filter your report to focus on the right data

    You can filter data in two simple ways:

    Option A: Use the Filters panel

    1. In the left panel, click the + next to Filters.
    2. Choose whether you want to filter on Fields or Metrics.
    3. Select the specific field or metric you want to filter (e.g., Job Location, Candidate Status, Hire Date).
    4. In the modal that opens:
      1. Pick an Operator (e.g., equals, contains, greater than).
      2. Enter the Value you want to filter by (e.g., “Hired”, “United States”).
      3. Click Apply.

    The filter will now appear in your Filters section and update the results in your report.

    Option B: Filter directly on a field or metric

    1. Hover over a field or metric in the left panel.
    2. Click the filter icon that appears.
    3. Configure the Operator and Value, then click Apply.

    You can edit or remove filters at any time:

    • To edit, click the filter in the Filters section.
    • To remove, hover over the filter and click Remove (trash icon or “x”).

    Step 4: Set the report timeframe

    Once you’ve added at least one field or metric, a Timeframe selector appears under the report name.

    1. Click the Timeframe dropdown.
    2. Choose a preset, such as:
      • Last 7 days
      • Last 30 days
      • Last 3 / 6 / 12 months
    3. Or select Custom Date Selection to define your own:
      • Select Date(s) – set a start and end date.
      • After / Before – choose a single date and pull everything after or before that date.
    4. Click Apply to update the report.

    Step 5: Adjust how your report is displayed (tables vs. charts)

    By default:

    • If you only use fields, your report shows as a table.
    • Once you add metrics, you can switch between table and visualizations.

    To change the display:

    1. In the report view, click Customize (usually near the top‑right above the table or chart).
    2. Under Display As, choose:
      • Table – standard grid view
      • Bar chart – best for comparing values across categories
      • Line chart – best for viewing trends over time
      • Scorecard (KPIs) – big number cards for key metrics
    3. For Bar or Line charts, configure your view on the right‑hand side:
      • X‑Axis – usually a field (e.g., Date, Location, Job).
      • Y‑Axis – usually a metric (e.g., Hires, Applications).
      • Optional toggles like Horizontal chart, Stacked bars, Value labels, Trend line, and Colors.
    4. For Scorecard:
      • Choose Card Color and whether to show Shadow.
      • Each metric becomes its own KPI card.

    You can switch views at any time; this doesn’t change the underlying data, just how it’s visualized.


    Step 6: Clean up your columns (optional but recommended)

    To make your report easier to read:

    In the left panel, under Fields or Metrics:

    • Rename – Hover, click the pencil icon, and type a clearer label (e.g., “Time to Hire (Days)” instead of “TTH”). Press Enter to save.
    • Remove – Hover and click Remove to drop any column you don’t need.
    • Reorder – Hover to reveal the drag handle (multi‑dot icon), then drag fields/metrics up or down to change their order.

    You reorder in the left panel; the column order in the table or chart will follow that structure.

     

    Step 7: Name and describe your report

    At the top of the report, click the report name field and give it a clear, descriptive title, such as:

    • “Monthly Hires by Location – Last 12 Months”
    • “Candidate Funnel Conversion – US Hourly Roles”

    (Optional) Click the description placeholder under the report name to add context:

    • Who this report is for (e.g., “For TA leadership weekly review”)
    • How often it’s used
    • Any filters or assumptions to remember

    This makes it easier for others (and future you) to understand the purpose of the report at a glance.


    Step 8: Publish your report

    While you build, your changes are auto‑saved, but the report is in Draft or Unpublished status and may not be visible to others.

    To make it available:

    1. Look at the status indicator near the top (e.g., Draft or Unpublished).
    2. Click it and select Publish.

    Once published:

    • Users with view access to Reports can see the report in All Reports.
    • Any scheduled deliveries will use the latest published version.

    If you later edit the report, it will move back into Unpublished status until you publish again.


    Step 9: (Optional) Schedule or share your report

    Once your report is published and you’re happy with it, you can:

    Schedule the report

    Use this if you want the report to be sent on a recurring basis (e.g., weekly, monthly).

    1. In the Report Builder, click the ellipsis (⋯) menu in the top‑right.
    2. Select Schedule.
    3. In the schedule dialog, choose:
      • File format & delivery (e.g., CSV as attachment, download link, or SFTP).
      • Recipients – you’ll be added by default; you can add others.
      • Frequency – Send once, Daily, Weekly, Monthly, etc.
      • Start / End – When to begin and when (or if) to stop.

    Remember:

    • For most email deliveries, data is filtered by each recipient’s permissions, so they only see what they’re allowed to see.
    • If you add more than 10 recipients, the report will be filtered by your permissions instead.

    Share the report with teammates

    If you want others to open and work with the report directly in the builder:

    • From All Reports:
      • Hover over the report, click the ellipsis (⋯), and select Share.
    • From within the Report Builder:
      • Click the ellipsis (⋯) and select Share.

    Then:

    1. Search for users or roles (only users with view or full access to Reports will appear).
    2. Add them and click Share.

    They’ll receive a web alert and/or email with a link to open the report directly in the builder, with data filtered by their permissions.
