    The time zone used for scheduling is based on the settings selected on the backend by your CS Representative. Please contact them if you would like these settings adjusted.


    Candidate's timezone

    Candidate timezone method priority order

    During Implementation, your CS Representative will work with your team to set the priority order of how the system will look for a candidate's timezone. The default order of timezone methods include the following:

    1. Timezone Override (cannot be removed or reordered)
    2. Candidate IP Address
    3. Candidate's Assigned Location
    4. 1:1 Interview Attendee
    5. Candidate’s Home Address
    6. Candidate’s Interview Location
    7. First Selected Interviewer (cannot be removed or reordered)

    Important Note: When enabled, the Advanced Scheduling Settings that are available when manually scheduling a candidate for an interview will override the candidate timezone logic set on the backend.

     

    Timezone method logic

    Review the logic tied to each timezone method.

    • Timezone Override – This option refers to when users manually update the timezone when scheduling an interview and will always be listed in this list. It cannot be removed or reordered.
    • Candidate IP Address – If the candidate's IP Address is unknown, then the next timezone method in the list will be used.
    • Candidate's Assigned Location – If the location's timezone is not set for the candidate's location or the candidate's location is Unassigned/Remote, then the next listed timezone method will be used instead.
    • 1:1 Interview Attendee – If there are multiple attendees or a Round Robin group (RRG) listed as the interviewer, then the next timezone method in the list should be used. Round Robin groups with only one possible interviewer should use that user’s timezone instead of the fallback.
    • Candidate’s Home Address – If the candidate's home address is unknown, then the next timezone method should be used. Otherwise, the most recent value for the candidate's home address, whether brought in via API or stored as an attribute, will be used. 
    • Candidate’s Interview Location – If the interview is not in-person or a group interview, then the next timezone method should be used. 
    • First Selected Interviewer – This option will always be listed last and cannot be removed or reordered in the list due to the way the system logic is setup. If the selected options aren't available for the candidate, then the system will fall back on the first selected, required interviewer's timezone.

    Additional logic

    While the time zone presented to the candidate is based on the above settings, it is also important to note the following:

    • Daylight Savings Time. If a multi-day interview request is sent to a candidate when daylight savings starts or ends, then all time zones will display in either MDT or MST, even if one day is not in that time zone, because the system cannot send multiple time zones in the same interview request. However, the candidate and user will need to be aware that any days set before or after daylight savings will be in the other time zone.

    Default timezone format

    You can choose the default timezone format used in candidate scheduling communications for all newly created locations in your account. Existing locations are not affected when this setting is changed. You can select between the following options. The following options are available:

    • Abbreviated (ex: MST)
      • Note: This is the default for new and existing accounts.
    • Full Name (ex: Mountain Standard Time)
    • UTC Offset (ex: UTC-07:00)

    Changing this setting does not update the timezone format for existing locations in the account. To update existing locations, you can:

    • Adjust/customize each location individually in Location Management, or
    • Perform a one-time location upload in Data Feeds with a Time Format column mapped to the desired format value for each location.
     

    Default time format

    You can choose the default time format used in candidate scheduling communications to apply to all newly created locations in your account. Existing locations are not affected when this setting is changed. The following options are available:

    • 12 Hour (ex: 1:00 pm)
    • 24 Hour (ex: 13:00)

    For candidates with an Unassigned, Remote, or Tentative location, candidate scheduling communications use this setting's configured time format.

    Changing this setting does not update the timezone format for existing locations in the account. To update existing locations, you can:

    • Adjust/customize each location individually in Location Management, or
    • Perform a one-time location upload in Data Feeds with a Time Format column mapped to the desired format value for each location.
     

    User's time zone

    Paradox automatically syncs employee time zones with their connected calendars (such as Microsoft 365 or Google), unless a Company or Account Admin disables the Sync timezone with connected calendar setting. This ensures that interview scheduling and communications always reflect the correct local time for each user.

    Learn more about this timezone sync setting for Microsoft 365 (Outlook) and Google Calendar integrations. Company/Account Admins can configure the default time zone sync setting at the tenant level.

     

    When a user individually connects their calendar in the Integrated Solutions section of the Calendar Settings in My Calendar/Calendars, they can choose whether to sync their Paradox calendar’s timezone to match their connected calendar’s timezone or not by selecting the following options:

    • Keep Current Timezone keeps their current Paradox timezone.
    • Sync Timezone updates their Paradox timezone to match their connected calendar.

    If no selection is made, the timezone sync is enabled by default.

    Paradox then checks and updates the user’s time zone each time it pulls free/busy data from the connected calendar, as long as the time zone sync setting is enabled.

    Manual time zone updates in Paradox automatically disable calendar sync. If the sync is disabled, you must update your time zone manually to ensure scheduling accuracy.

     

    Managing employee timezones for Basic/Limited Users

    For Basic/Limited users, Admin users can send them a link to their calendar so that they can update their availability and their time zone settings. This can be done in one of two ways:

    Calendars

    From the Calendars app,

    1. Select Employees from the left panel.
    2. Search for and select the preferred employee's calendar.
    3. When their calendar opens, select the calendar's action menu, or ellipses, and then Calendar Settings from it's drop-down menu.
    4. Navigate to the Integrated Solutions section.
    5. Select Copy next to the URL displayed in this section.
    6. Send this URL to the Basic/Limited User.

    Roles and Permissions

    From the Roles and Permissions page,

    1. Select either Basic User or Limited User from the left panel.
    2. Search for the preferred user.
    3. Hover over their row and select the row's action menu, or ellipses.
    4. Select Edit from its drop-down menu.
    5. A slide-out drawer will then open. Scroll down to the Calendar Connection and Details section.
    6. Slect Copy next to the URL displayed in this section.
    7. Send this URL to the Basic/Limited User.
