    Scheduling Templates allow you to save and reuse their common interview configurations directly in a dedicated template management page and in the manual scheduling drawer.

    Use cases

    • Hiring teams who want to decrease the time and effort that it takes to schedule an interview for their candidates.
    • Teams who manage interviews of similar setups or complex interview configurations and want to eliminate errors with pre-configured interview settings.

    Scheduling templates in the candidate inbox

    When you are scheduling an interview with a candidate in the Candidate Inbox, you can use a template or create a new template directly within the manual scheduling drawer.

    When a user creates a new scheduling template directly from the manual scheduling drawer, it is only visible and available to that individual user. These templates are not shared across the organization and do not appear in Scheduling Template Management.

     

     

    Use a template in the candidate inbox

    You can use an existing scheduling template directly within the manual scheduling drawer by following the steps below:

    1. At the top of the scheduling drawer, select the Use a Template button.
    2. In the dropdown menu, select the template of your choice from the following options:
      • Favorites – This contains all of the scheduling templates that you have favorited.
      • My Templates – This contains all of the scheduling templates that you have created.
      • Account Templates – This contains all of the scheduling templates that are in the account.
    3. In the lower-right corner of the dropdown menu, select the Apply button to apply the scheduling template.
    4. Select the Let Olivia Schedule button to successfully schedule your interview using a scheduling template.

    Save and update a template in the candidate inbox

    You can update an existing template directly within the manual scheduling drawer by following the steps below:

    1. Apply an existing scheduling template to the manual scheduling drawer.
    2. At the top of the scheduling drawer, select the Save & Update button.
    3. In the modal that displays, select Confirm to verify any changes made to the scheduling template.

    The edits that you made save and become a part of the existing template, overriding any previous scheduling template configurations.

    Create new template in the candidate inbox

    You can use an existing scheduling template directly within the manual scheduling drawer by following the steps below:

    1. Make any edits and configurations to the Interview Details, Prep & Instructions, and Settings sections of the scheduling drawer.
    2. At the top of the scheduling drawer, select the Create New Template button.
    3. In the modal that appears, enter in the Template Name.
    4. In the lower-right corner, select the Save button.

    The newly created scheduling template can then be accessed in the Scheduling Template Management page or within the Candidate Inbox.


    Permissions

    The below outlines users' access to selecting and using scheduling templates when manually scheduling an interview. If users want access to create and manage scheduling templates, they will need the Scheduling Template Management child permission under the Scheduling parent permission.
