    At times, you may need to adjust your Candidate Journeys to better reflect new hiring processes or remove them entirely as a journey option. This page outlines how to make these adjustments.


    Edit, rename, delete, and duplicate System Journeys

    In the Candidate Journeys list, select the preferred journey’s action menu, or ellipses, and then then preferred action.

    1. Edit – This will open the journey where you can edit the stage name and status details.
    2. Rename – This will open a modal where you can update the name of the Candidate Journey.
    3. Duplicate – This will create a copy of the journey, which you can then edit and adjust as needed.
    4. Delete – This will remove the journey from the list.

    System Journey can only be deleted if it meets all of the following conditions:

    • It is not associated with any Group, Job, Targeted Journey, or Talent Community.
    • It is not associated with any Workflows.
    • No candidates are currently assigned to its statuses.

    If these conditions are not met, then the Journey Cannot Be Deleted modal displays, indicating why the Journey cannot be deleted.

    You cannot delete the System Journey.

     

    Edit a stage’s status

    1. Click into the preferred journey from the Candidate Journeys list.
    2. Open the preferred journey stage from the left panel.
    3. Make the necessary changes.
      • Rename journey – Select the pencil icon next to the System Journey’s name to edit it.
      • Rename stage – Select the pencil icon next to the stage’s name to edit it.
      • Rename status – Select the Status name field to update the status’s name.
      • Show this step in the ‘Move to Job’ status selection – This toggle will display when the Manual Candidate Mobility feature is enabled for your account and for statuses that require manual action to be taken on candidates in this status. Toggle this off to prevent users from seeing this status when moving the candidate to this job. Click here to learn more.
        • Note: This step can only be taken when utilizing Paradox Jobs. In addition to this, updates made to Candidate Journey permissions will apply to all users universally. However, this setting will not interact with the status’s configured Action Needed permissions.
      • Highlight this step as Action Needed for employees – Toggle this on to move the candidate into the Action Needed folder so that the user can complete the next steps set up for this status.
        • Action needed permissions – When the Highlight this step as Action Needed for employees is enabled, then this setting will display. This setting allows users to configure which specific hiring team role(s), user role(s), and/or specific user(s) will have this status highlighted for them when candidates enter into it. This process is outlined below.
          • Note: By default, all user roles will be able to view or manage candidates in that status. To give specific users Action Needed permissions, you will need to configure these settings.
      • Next Step – Add an optional next step that users should complete when their candidate goes into this status. Click here to learn more.
        • Note: Users will need access to the status associated with the next step button. Ensure to update either stage or status permissions, accordingly.
      • Stage permissions – Select the settings icon in the upper right corner of the screen to grant users stage permissions to Manage or View candidates in this stage.
        • Note: Stage permissions cannot be configured for the Capture, Scheduling (& additional Scheduling stages), Disposition, Custom, Event, Hire, and Surveys stages. Users will automatically be granted permissions to manage and view candidates in these stages.
    4. Select Done in the bottom right corner of the page.
    5. Select Publish Journey in the bottom of the left panel.

    Delete stages and statuses

    You are able to delete a stage and status if it meets certain conditions. 

    Delete a stage

    A stage can only be deleted if it meets all of the following conditions:

    • None of the statuses within the stage are associated with any Workflow tasks.
    • No candidates are currently assigned to any statuses within the stage.
    • It is not a Capture stage.

    When one or more statuses within the stage are mapped to a task in Workflows, then the Stage Cannot Be Deleted modal displays, indicating the Workflows dependencies associated with the stage. 

    You can delete the standard Scheduling stage within a Journey. The following conditions must be met to delete it:

    • None of the statuses within the stage are associated with any Workflow tasks.
    • No candidates are currently assigned to any statuses within the stage.

    If there is no standard Scheduling stage within the Journey, then candidates associated with the Journey cannot be scheduled for an interview. 

     

    Delete a status

    A status can only be deleted if it meets all of the following conditions:

    • None of the statuses are mapped to any Workflows.
    • No candidates are currently assigned to the status.

    When a status is mapped to a workflow in Workflows, then the Status Cannot Be Deleted modal displays, indicating the dependencies associated with the status. 

    Move candidates into a different stage or status

    If you attempt to delete a stage or status assigned to candidates, a modal displays that shows the exact number of candidates and states that they must be moved before deletion is possible.

    Move candidates in a mass stage or status movement

    To move a candidate to another status, follow the steps below:

    1. In the Action Required before Status Deleted modal, select the specific status in the dropdown menu that you want to map candidates to.
    2. Within the stage dropdown, select the specific status to map the candidates to.
    3. Select Confirm to officially delete the status.

    Delete items associated with a journey

    When a form, offer, or conversation is linked to a journey or targeting flow that was previously assigned to an active job with in-progress candidates, deletion is prevented to maintain the integrity of existing candidate workflows. When a user attempts to delete one of these items:

    • The system does not allow deletion if the item is currently attached to candidates who are still in progress on an older journey configuration previously assigned to a job.
    • A warning modal states that the item cannot be deleted because it is attached to candidates who are still in-progress on an older journey configuration, listing the impacted job(s) and their previously assigned journey.
