    Within the CMS, you can import, export, and publish knowledge base responses.


    Download the knowledge base

    You can download the knowledge base to make the preferred changes and then have your CS Representative upload the file to apply those changes to your assistant’s responses. To do this, follow the steps below.

    1. Select All Apps from the top left corner of the header and then CMS from its drop-down menu.
    2. Open the preferred Q&A section from the Assistant Responses section(s) of the CMS.
    3. Select the settings icon in the upper-right corner of the section and then Download Knowledge Base from its drop-down menu.
    4. A modal will then display where you can add in the email address(es) that will receive the knowledge base file. Ensure to separate email addresses with a comma.
    5. Select Confirm.
    6. The email recipients will then receive an email with the knowledge base file attached. They should download this file, make the necessary edits, and then save it to their device.
    7. Share this updated file with your CS Representative and have them upload it to your knowledge base.

    If the Knowledge Training Library is enabled in the account, your published KTL documents, hyperlinks, and their generated intents are included in the import and export of the Knowledge Base.

     

    Upload the knowledge base

    Only your CS Representative can upload a knowledge base file for you. Contact them for assistance.

    Media content columns

    When you download the knowledge base from the CMS, there will be columns included in the export that inform you if there is media attached to an intent. These columns are:

    1. Media Attached – This column cell data will display as Yes or No depending on if media is attached to that intent or not, respectively.
    2. Content Type – This column will include the media type attached to the intent, such as Image or Video.
    3. Content Details – This column will include the link to relevant content that is attached to said intent.
      • Note: There should only be data in this cell if the Media Attached column is Yes.

    If the Knowledge Training Library is enabled in the account, there are additional columns included in the export. These columns are:

    1. Source Name — This column displays the origin of a generated intent, whether it's manual or the name of the document the intent was generated from.
    2. Source Link — This column includes a link to the source media (document or hyperlink) associated with the intent.
    3. Source Type — This column displays the format of the source the intent was generated from: whether it's a document or hyperlink.

    Although the media will be included in the downloaded knowledge base, you are not able to re-import that media back into the CMS. Be sure to delete the Media Attached, Content Type, and Content Details columns to avoid updating these aspects.

     

    Publish knowledge base

    Only users with publishing permissions can publish the knowledge base. By default, only Paradox Admins can publish the knowledge base. However, users can be granted publishing permission if needed from the following permissions:

    • Content Management System > Candidate Assistant Responses > Knowledge Base Publishing
    • Content Management System > Employee Assistant Responses > Knowledge Base Publishing
     

    To publish a knowledge base, navigate to the Candidate Q&A section of the Content Management System, select the Draft or Unpublished status in the upper-right corner of the section, and then select Publish. This will ensure that the added/edited responses are live for candidates.

    • Note: This same process can be repeated from the Employee Q&A section of the Content Management System, if enabled.

    Permissions

    By default, only Paradox Admins and Company/Account Admins can download the knowledge base. In addition to this, only Paradox Admins can currently upload the knowledge base.

    Users can be assigned the Knowledge Base Publishing permission for either Candidate Assistant Responses, Employee Assistant Responses, or both under the Content Management System permission in Roles and Permissions.
