The Schedule section is where you can view the sessions that are scheduled for the event. For events that include interviews, you’ll be able to view which candidates are currently scheduled as well as schedule new candidates/event attendees.
Dashboard

When the hiring event has upcoming sessions, the next upcoming session(s) will appear within the Schedule widget on the event's Dashboard. If there are no upcoming sessions within the hiring event, then it will simply state Next Session: There are no Upcoming Sessions.
My Schedule calendar view
When you click the Schedule section in the left panel, your My Schedule will initially open. The My Event Schedule will be specific to your access to the hiring event.

The My Event Schedule will display all interview time slot(s) that you could be scheduled for throughout this event. Candidates assigned to you as well as open interview times, or the time slots that do not have a candidate scheduled yet, will display within the calendar view and list view during their scheduled interview time.
Event Schedule
The Event Schedule has two views: the calendar view and the list view.
Calendar view

Within the Event Schedule calendar view, all sessions created during the hiring event will display. The dark green blocks on the calendar are Interview Sessions, while all other session types will appear in blue.
Within the time block, the session name and start time of the session will be displayed.

On the righthand side, all sessions that are scheduled for the selected date will be listed. The sessions should be listed in order of next upcoming.
After the event starts, when sessions are taking place, they will display in the What’s Happening Now section and will be removed from this section when they end. If there are zero sessions scheduled for a specific day, it will display an empty state.
- Note: The session(s) that appear within the What’s Happening Now section will also appear below with all of the other sessions happening for that day.
The Schedule view should automatically open to either the first day of the schedule or the current day, depending on if the event is multiple days long or not.
You can view additional details about the session by either clicking the session card on the righthand side or clicking the session time block within the calendar view.
List view
From the list view, you can complete the following actions listed within the calendar view:
- Add a candidate to an interview session
- Check in a candidate
Interview sessions

When you click into an interview session, you will be able to view metadata about the session, all open interview times, and all candidates scheduled for the session. This metadata includes:
- Session start and end time
- Interview duration and type
- Total candidates scheduled out of all available interview times within the session
- Total number of candidates checked into their interview time
- Total number of interviewers assigned to the interview session
You can add multiple interviewers to a single interview session with a single candidate through these two ways:
- In card view, select the Add Interviewers button.
- In list view, select the plus icon in the Interviewer(s) column.
Metadata logic
- When a candidate is scheduled for an interview during a session, the candidate's name will display within the interview slot.
- When an interview slot is still open, then Open Interview Time will display within the slot.
- When an interviewer is assigned to the candidate, the interviewer’s name will display below the candidate’s name.
- When an interviewer is not assigned to the candidate, a No Interviewer Assigned state will display below the candidate’s name.
Phone interview

If a candidate is scheduled for a phone interview, the candidate’s phone number will display within a banner below the candidate’s name.
Virtual interview

If a candidate is scheduled for a virtual interview and it is being conducted with one of the virtual video technology providers supported for events, a Join the Interview banner and Join button will display below the candidate’s name.
When you click the Join button, you will be directed to a new tab to the meeting URL.
If you are not using a virtual video technology provider supported for events, the Join the Interview banner will not display below the candidate’s name.
Checking in candidates to their interview
It is recommended to check in candidates in order to pull reports on those who showed up to their interviews.
You can check-in a candidate for their scheduled interview by clicking the Check-in button next to the candidate's name.
- White Check-in button – This indicates that a candidate is not checked in.
- Blue Check-in button – This indicates that a candidate is checked in.
Manually scheduling a candidate to an interview
You can manually schedule a candidate for an open interview time by completing the steps below.
- Click its action menu, or ellipses, and then Add Candidate.

- You will then decide whether to add a new candidate or a registered candidate by clicking the option in the drop-down list that opens.
- Add new candidate – Move to Step #3.

- Add new candidate experience. A slide-out drawer will open where you can enter in the candidate’s full name and relevant information. If this candidate needs to be scheduled for a phone interview, ensure to enter the candidate’s phone number. Once entered, move to step #5.

Add registered candidate experience. A slide-out drawer will then open where you can view a list of all registered candidates will be displayed. You can then search for and select the preferred candidate to schedule for this open interview time.

Note: Candidates will be listed in alphabetical order. In addition to that, candidates who are already scheduled for an interview will have a Scheduled to interview pill next to their name.

- Click Add Candidate in the bottom right corner of the drawer. The candidate will then display for that interview time in the list.
Delete interview times
This functionality is only available to event managers.
You can manually delete an open interview time by clicking its action menu and then clicking Delete Interview. You will then need to confirm the action of deleting the interview time before the interview is deleted.
- Note: You cannot delete an interview time that is currently scheduled by a candidate.
View the Candidate Profile
You can access the candidate’s profile from the schedule view by clicking on the candidate’s name.
Event sessions and live video broadcasts

Selecting any session opens its details and includes the following information:
- Session Description – A summary of the session's purpose.
- Session URL and Password – This will display if the session is virtual and if a meeting URL and password were generated or added to the session. You can also copy the session link and password directly from this view if it was added to the session.
- Join Session Button – This will display if the session is virtual and if a meeting URL and password were generated or added to the session.
- Session Start & End time – The specific time frame for the session.
- Session Duration – The total length of the session.
- Session Type – The type of session, such as an Information Session, Live Video Broadcast, or Virtual Chat Booth. If the event session type is In-Person, the session location will also be included.
- Session Staff – The list of staff members assigned to the session.
Virtual chat booth
When you click into a virtual chat booth, you will be able to view the following metadata:
- Session description
- A Join Chat Booth button
- Note: This will display if you are within the allotted time frame to join the event chat booth. This is a similar experience to the Event Inbox.
- Session start and end time
- Session duration
- Session type
