    Conversation templates allow you to build a conversation based on a prebuilt template. The available templates support a variety of use cases that may be helpful when creating new conversations.


    Conversation template options

    The available conversation templates include the following:

    • Single Path – This template is a linear, single path conversation that will auto-assign all candidates who engage with it to a single group.
    • Single Path (Prioritized Location) – This template is a linear, single path conversation that will auto-assign all candidates who engage with it to a single group with a prioritization on location. 
    • Multiple Path – This template is a multi-path conversation that allows for branched paths dependent upon a candidate’s group selection.
    • Multiple Path (Prioritized Location) – This template is a multi-path conversation that allows for branched paths dependent upon a candidate’s group selection and preferred location. 
    • Conditional Conversation – This template is a conditional conversation that allows for branched paths based on a candidate’s response to the introduction question.
    • Dynamic ATS Conversation – This template dynamically retrieves questions from an external ATS to use in the conversation. This option is only available when you have an external ATS integration.
    • Hire – This template is used to facilitate job search and dynamically screen candidates with questions configured on the job. This option is only available when you are utilizing Paradox as your ATS solution.
    • Follow Up – This template is available to select in Conversation stages to send candidates follow-up questions.
    • Candidate Journey – This template is a singular conversation path that will assign all candidates to the same Candidate Journey.
    • Event Registration (Single Path) – This template is a singular conversation path that will assign all candidates to the same group and is used to register candidates to a Hiring Event.
      • Note: This conversation template does not have screening and actions because outcomes are configured while building out the event. 
    • Event Registration (Multiple Path) – A multi-path conversation allowing for branched paths dependent upon a candidate’s group selection. When a candidate passes the event’s screening questions, then the Register to Event action will be triggered, and your AI Assistant will automatically register the candidate to the event.
      • Note: This message is customizable.

    Create a conversation using a template

    We recommend you work with your CS Representative when building out your candidate conversations.

     

    If you have the permission to create a new conversation, then complete the steps below.

    1. Click the All Apps button in the top left corner of the header.
    2. Click the Settings icon.
    3. Click Conversation Builder in the Automation section of the Settings page.
    4. Click + Add Conversation.
    5. Select Add New Conversation.
    6. On the new page that opens, name the conversation.
    7. Select your preferred template to auto-populate the page.
    8. You can then update the following default options, if preferred:
      1. Available locations – The locations that this conversation will be available for use. By default, no locations are assigned, but by clicking this selector, you can select, multiple locations, remote locations, or certain groups.
      2. Location format – The format of locations that are presented to the candidate. By default, Location Address is selected, but this can be updated to Location name, if preferred.
      3. Completion Tracking Pixel – The option to a tracking pixel to collect data on user behavior, traffic, and conversions.
      4. WhatsApp Supported – This dropdown allows you to enable WhatsApp for the conversation, which allows candidates to select it as a Communication Preference. This field will only display if WhatsApp is enabled for your account.
      5. Conversation Language – If the Multilingual feature is enabled for your account, then you will have the option to select the languages available for this conversation. It is recommended to select your languages last. When you make your selections, your entire conversation will be translated for you automatically. Once selected, a tab for each language will display above the conversation.
    9. Review the selected template's questions and make updates where needed.
    10. Add specific screening questions to best target candidate responses.
    11. Click the + Add Screening and Action button at the bottom of the conversation to determine what would qualify a candidate and move them forward in the process. You can select the following conditions in the Then dropdown:
      1. Assign to – This will allow you to assign the candidate to a specific employee.
      2. Move to – This will auto-populate the text box with a default message, which can be edited. You can then move the candidate to a specific status.
      3. Override Closing Message – This will auto-populate the text box with a closing message that you can customize.
      4. Schedule Interview – This will auto-populate the text box with a default message, which can be edited. You can then select the Configure button to open the Configure Auto Scheduling slide-out drawer, where you will be able to set the interview details. Once you save all of your interview details, you can see all of the selected interview details in the Scheduling Summary panel. You can select Edit Scheduling to edit the details.
      5. Olivia Recorded Interview – This will allow you to select the recorded interview that will send to the candidate. You can then select Interview Feedback and the Notification Channel.
      6. Schedule to Event – This will allow you to select the event that you want you want to invite the candidate to and auto-populate the text box with the default message, which can be edited.
      7. Trigger Tracking Pixel –  This will allow you to select the recorded interview that will send to the candidate. You can then select Interview Feedback and the Notification Channel.
    12. When the conversation is finalized, click the Draft status in the upper-right corner of the page and then click Publish from its drop-down menu.


       

    Skip question action

    The Skip Question action allows questions to be skipped based on a candidate’s answer to the previous question. If you would like to include skip questions in a conversation, follow the steps below.

    1. Navigate to the question that will be asked based on the candidate’s answer to the previous question and that will potentially be skipped by the candidate.
      • Important Note: If a question is required in your external ATS, then the Skip Question logic cannot be applied to that question.
    2. Click the question's action menu, or three dot icon, and then select Skip Question. 


       
    3. In the slide-out drawer that opens, select the Starting Value. This can be a question or a Candidate Attribute.
      • Note: The Statement Message question type will be hidden from this field since no response is necessary for a Statement Message.
    4. Choose the preferred operator for the Screen For selector.
    5. Enter a value in the Text Input field that will cause the question to be skipped if the Candidate responds with it.
      • Note: The Then section below the If condition setting will always say Skip Question and will auto-populate to the title of the question that the condition is built on.
    6. If needed, you can add additional conditions by using the AND and/or OR operators. A new If statement will then display where you can set the additional condition by repeating steps #3-5.


       
    7. Click Apply when all conditions are created.

    A banner will then be listed above the question to indicate that the Skip Question logic was applied and can be edited there.


    Conversation builder actions and view controls

    At any point in the Conversation Builder, you can use the editing and view controls. 

    These options are always accessible in the bottom right of the screen:

    • Undo – Click this icon to reverse your last action. For keyboard shortcuts, macOS uses Cmd + Z or ⌘ + Z and Window uses Ctrl + Z. When you undone an action, a small banner displays in the lower-left corner stating what has been undone. This button will be grayed out until you have made a change.
    • Redo – Click this icon to reapply an action you just undid. For keyboard shortcuts, macOS uses Shift + Cmd + Z or Shift + ⌘ + Z and Window uses Ctrl + Y. When you redo an action, a small banner displays in the lower-left corner stating what has been redone. This button will be grayed out until you have undone an action. 
    • Zoom Out – Click the – icon.
    • Zoom In – Click the + icon.
    • Fit question to screen & fit conversation to screen – Click the four arrow icon to zoom out to the highest level or down to an individual question depending on the zoom level of the page.
    • Navigation list of all questions – Click the list icon to open a searchable list of all questions in the conversation. Click on a question name to navigate to that question in the Conversation builder.

    The undo and redo functionality support all editing actions in the Conversation Builder, such as adding/deleting questions, changing question types, and updating conditions.

     

    Candidate experience

    When the Skip Question action is applied to a question, candidates who meet the criteria set for that question by responding with the values dictated in its condition(s) will not be asked that question and will, instead, be asked the following question.
