    Candidates can be easily checked in by an event attendee or by themselves.

    Candidates who are checked in to a session of a recurring event that is later updated, then their check-in status should be deleted.

     

    Configuration

    Candidate check-in settings can be updated on the backend by your CS Representative. Contact them to update the following:

    • If a candidate can check themselves in or not.
    • The amount of time after the event ends that a candidate will no longer be able to check in.
    • The timeframe in which candidates can check themselves into their event interview before it starts.

    Employees checking candidates in (registered and scheduled interviews)

    Employees can check candidates into their interviews or generally to an event.

    Important Notes:

    • Permissions: A user will need Full Access to Events to check-in candidates.
    • It is important to note that checking in candidates allows you to pull reports on attendance.
     

     

    From the Candidates list

    Candidates can be checked in at any time, even for past events.

     
    1. Open a Candidates list within your event.
    2. Select the candidates that you want to check-in.
    3. A Take Action button will then display above the grid. Click this to view all relevant check-in options, depending on the event, and then select your preferred option.
      • Note: This menu will reflect the candidates who are selected, depending on whether they are registered for an event, scheduled to interview, or both. If an action is grayed out, then it means that at least one of the selected candidates does not meet the action criteria.


         
    4. Multi-day events. For multi-day events, a modal will display the days available to check the candidate(s) in for. Select the preferred day(s) and then click Check-in.


       

    Update candidate check-in status

    At any time, you can update a candidate’s check-in status from the All Candidates or My Candidates list.

    1. Open one of the candidate lists for an event.
    2. Find the preferred candidate and scroll horizontally to the Check-In column associated with the status you want to update.
    3. The checkmark will indicate that the candidate was checked in while the x icon will indicate that the candidate was not checked in. Hover over each icon to reveal its associated date.


       
    4. Click the corresponding icon.
    5. A modal will display depending on the status update. Click Confirm to update the candidate’s status.
      1. Marking a Candidate as Checked In – Clicking a x icon will open a confirmation modal where you can check in the candidate. 


         
      2. Marking a Candidate as Absent – Clicking a checkmark icon will open a warning modal where you can revert the candidate’s check-in status to absent. 


         

    From the Schedule

    The user can check-in a candidate for their scheduled interview by clicking on the check button next to the candidate's name.

    • A grey button indicates that a candidate is not checked in.
    • A blue button indicates that a candidate is checked in.

    Candidate self check-in (scheduled interviews)

    The Scheduled Event Interview 1-hour reminder notification sent to candidates will update to become the Candidate’s Check-In is Now Open notification. When the candidate clicks the Check-In to Interview button from the above notification and are still able to check into their event interview based on the designated timeframe:

    1. The candidate will be directed to the following landing page.
    2. From the Interview Schedule view within the event, the candidate’s check-in button will automatically update to checked-in.
      • Notes:
        • If the candidate clicks the Check-In to Interview button multiple times, the candidate will remain checked in.
        • The user can still manually check-in a candidate from the Interview Schedule view.
           

    Interview time passed

    If the candidate attempts to click the Check-In to Interview button from the email notification and the candidate is no longer able to self-check-in, the candidate will be directed to a Your Interview has Passed landing page and their check-in status within the event will not change.
