    If you're a hiring manager or recruiter, the following updates will have an impact on your system. 

    The following enhancements will have an impact on your system processes and experience. It is important to note that this may differ depending on your account features and individual system access.
     

    Contact your Company or Account Admin to receive supporting documentation around these updated processes.

     

     

    Hiring events: Additional updates to mass action - one time message

    If you manage Hiring Events, you may remember that there was an update last month where you can now mass send qualified candidates a one time message to communicate important updates and information about an event. 
    With this follow-up update, you can change your message sender to a recruiter, select existing messaging templates, and select multiple languages for multilingual support.

    To send a one time message in Events:

    1. In the upper-left corner, select All Apps and then select the Events tile under the Candidates section.
    2. Navigate into an event of your choosing, and then enter the Candidates tab.
    3. Select all the candidates that you want to take action on by manually selecting the check box next to the candidate name or automatically selecting the check box next to the number of candidates.
    4. Select the Take Action button.
    5. From the dropdown, select the Send Message button from the dropdown menu. After, the Send Message drawer slides out.
    6. Fill out the below sections in the Send Message drawer:
      1. Multilingual Configuration (optional): If multilingual is enabled for your account, you can select the language dropdown menu in the upper-right corner of the drawer. This allows you to configure the languages you desire.

        When you select Configure Languages, you are able to select multiple languages.
      2. Delivery Details: Review the message sender and the audience of candidates that will receive the message. You can change the message sender to a recruiter or from your virtual AI assistant.
      3. Enter Message: 
        1. Messaging Template (optional): Select any of your Campaigns messaging templates within your account. If you decide to select a messaging template, the message will populate in the Enter Message section.
        2. Communicate Channel: Select either SMS, Email, or both. The candidate will receive the message via their communication preference. 
        3. Enter Message: If you haven’t selected a messaging template, personalize the message that the candidate will receive. The character limit is 500 characters.
        4. Translate: If you configured multilingual for the message, you can select the translate icon to the right of the communication channels.

          Once you select this, a warning modal displays that allows you to Confirm that you will be using the message to translate the other language messages.
    7. After completing all of the fields, select the Send button to mass send a message.

    This is only available if you have access to both Events and Campaigns. 

     

     

    Hiring events: Buffer time with interview sessions

    If you manage Hiring Events, you can set buffer times between your interviews. This enhancement will give you better control over your schedule, allowing time to review notes and provide feedback before the next interview.

     

    To set buffer times in between your interview sessions:

    1. In the upper-left corner, select All Apps and then select the Events tile under the Candidates section.
    2. Navigate into an event of your choosing.
    3. In the upper-right corner, select Create New Event from the Events page.
    4. Select Hiring Event in the modal that displays, and then in the lower-right corner, select Next.
    5. Complete the steps of the Event Builder until you get to the Schedule step.
    6. Create a new session by clicking, dragging, and dropping a timeframe over the calendar.
      1. If you have only one interaction type configured: You will not be prompted to select the session type that they would like to create. Instead, after the user drags and drops over a time period, the session builder will immediately slide out for the user. 
      2. If you have multiple interaction types configured: If your account has multiple interaction types selected, after you are done dragging and dropping over a time period in the calendar, you’ll be prompted to select the session type that you would like to create. 
        Configure all of the necessary fields.
    7. In the Interview Details section, you can configure how many interview time slots you need per duration and the buffer time through the Buffer Time Between Interviews dropdown menu. You can select this and use the dropdown menu to select the following interview buffer times:
      1. 5 minutes
      2. 10 minutes
      3. 15 minutes
      4. 20 minutes
      5. 25 minutes
      6. 30 minutes
      7. Custom
    8. Configure other necessary fields, and then select Create Session to officially create the session.
       

    Talent community: Table management feature

    You now have more control of your table settings for your Candidates table. This helps manage a large influx of candidates by speeding up the process of reviewing each candidate profile. This enhancement applies for the Talent Community. If you have access to any of these areas in the platform, follow the below processes. 

    To manage your Candidate tables in the Talent Community:

    1. In the upper-left corner, select All Apps and then select the Talent Community tile under the Candidates section.
    2. Navigate to the All Candidates tab.
      Select the table icon in the upper-right corner to open the Table Settings slide-out drawer.
    3. Navigate to the For You or For All tab to customize the respective table settings.
      1. For You – When you customize the table settings For You, the table customizations will only apply to you specifically.
      2. For All – When a user customizes the table settings For All, the table customizations apply for everyone.
    4. In either view, customize the ordering of the columns for your table by doing the following:
      1. Drag and drop the columns to rearrange the columns into your desired layout.
      2. Hide a field that you do not want to appear by selecting the eye icon next to the column’s name. Once you do this, the eye icon turns grey and has a slash through it to indicate the column is hidden from the table.
    5. Create a new field by selecting Create a New Field, where you can enter a Field Name and select a System Attribute.
    6. After customizing your table to your preferences, select the Save button in the lower-right corner.

     

    Scheduling: Add interview owner to manual scheduling drawer

    You can now set an interview owner when you schedule a candidate through the Candidate Inbox. It is now easier than ever to assign an interview owner to a candidate interview who will receive alerts and messages related to the interview. This update ensures that the right people are notified about interview updates.

     

    To set an interview owner in the manual scheduling drawer:

    1. In the Candidate Inbox, navigate to a candidate that has a pending or scheduled interview.
    2. Select the Update button in the Interviews section of the Candidate Profile.
    3. In the slide-out drawer that opens, select the Edit Interview button.
    4. Configure your desired settings, and set an interview owner using the dropdown menu. 
    5. By default, the user logged in will be the interview owner.
    6. Save your interview details.
