    Designate and get alerted on keywords used by candidates or employees

    If you want to keep your eyes out for specific words that candidates/employees use in their conversations, you can add these as Smart Alerts within Alert Management. Once added, you will be notified when candidates/employees send messages containing these words.


    Smart Alerts for candidates

    Smart Alerts will notify you when a candidate sends a message containing any of the keywords added to the Add a Keyword box in Alert Management. There is no limit on the number of keywords that can be added.

    • Note: Keywords must have a minimum of 3 characters and a maximum of 20 characters.

    Add a keyword

    To add a new keyword, 

    1. Navigate to Alert Management.
    2. Scroll down to the Smart Alerts for Candidates section.
    3. If this alert is not already enabled for your preferred communication type, then enable it now.
    4. In the Add a keyword box, enter in the keyword that you would want to be notified of when a candidate responds.
      • Examples: STOP, Unsubscribe
    5. Hit Return/Enter on your keyboard to add the keyword.
    6. Repeat steps #4-5 for each keyword.
    7. Select Save at the bottom of the page.

    Remove keywords

    Keywords can be removed at any time by completing the steps below.

    1. Navigate to Alert Management.
    2. Scroll down to the Smart Alerts for Candidates section.
    3. Find the keyword that you want to remove.
    4. Select the action menu, or ellipses, at the end of the keyword's row and then Delete Keyword from its drop-down menu.
    5. Select Save at the bottom of the page.

    Current logic

    • For candidates, Smart Alerts should work for all types of conversations, including Candidate Q&A and Job Search. 
    • If you have Smart Alerts and Candidate Message Alerts enabled, and both alerts are triggered by the same message, then the Smart Alert email won’t send to prevent duplicate alerts.  
    • Avoid using phrases, chained keywords with “or” statements, and punctuation marks as keywords.
    • Each user’s keywords are unique to their profile and cannot be shared across users.
    • The system maintains a dictionary of keywords per account, mapping each keyword to the users subscribed to it.
    • When a message is received, the system checks for any matching keywords and sends alerts to the relevant users.

    Receive Smart Alerts for only the candidates you are watching

    You can become a watcher on each Smart Alert keyword set for the account. This will ensure that you are notified when one of the candidates you watch uses a Smart Alerts keyword. Learn more here.


    Smart Alerts for employees

    If your account has Employee Communications enabled and you manage at least one employee, then you will have the ability to add Smart Alerts for the employees you manage. This is the same as Smart Alerts for Candidates and follows the same processes, but it targets messages sent by employees through communication-type messages.

    • Note: This does not work for direct 1:1 chat.
