    This page covers both candidate messaging templates and employee messaging templates (if Employee Communications is enabled for your account).

     

    Messaging templates are templated responses that can be sent to candidates within the Conversation box of their Candidate or Employee Profile. Default responses are available for use, but additional responses can be built and utilized by team members when needed.


    Use cases

    Candidate Management

    • Sourcers/Recruiters who want to use messaging templates to quickly and easily send initial outreach messages to potential candidates, allowing them to efficiently expand their candidate pool and increase the likelihood of finding the best talent.
    • Sourcers/Recruiters who want to use messaging templates to send personalized follow-up messages to candidates after interviews, allowing them to maintain a positive relationship with candidates and keep them engaged in the hiring process.
    • Sourcers/Recruiters who want to use messaging templates to send job offer messages to candidates, allowing them to streamline the hiring process and improve candidate experience by quickly conveying important details about the job offer.
    • Sourcers/Recruiters who want to use messaging templates to automate messages to candidates, allowing them to focus on other important tasks while still ensuring that candidates receive timely and consistent communication throughout the hiring process.
    • Sourcers/Recruiters who want to use messaging templates to customize messages for specific Candidate Profiles, allowing them to personalize communication and improve the overall candidate experience.

    Employee Management

    • As a Manager, I want to be able to select from a list of templated messages in communications because I find myself having to type the same thing on several occasions.
    • As a Manager, I want to be able to select from a list of templated messages when 1:1 chatting with an employee because in some cases I’m not sure what the proper response would be.

    Messaging templates

    From the Messaging Templates section within the CMS, you can view default templates, create your own templates, and manage messaging templates to better support your hiring team’s messaging needs.

    Table layout options

    From the top right corner above the Messaging Templates list, you can filter the list by the following:

    • Search Bar – Enter the necessary characters to filter the listing for the preferred template.
    • View by Availability – Select and view the list by component. Options include:
      • Candidate Messaging:
        • Campaigns (if enabled for your account)
        • Inbox
        • Workflows
        • Hiring Events (if enabled for your account)
      • Employee Messaging:
        • Communication
        • Conversation (direct messaging)
        • Hiring Events (if enabled for your account)
    • View by Language – Select and view the list by language templates. Options displayed are based on the languages enabled for your account.

    Permissions

    Two sets of permissions are available: 

    • Access to the Messaging Templates section of the CMS – This is granted via the Messaging Templates permission (under the Content Management System parent permission) in Roles and Permissions.
      • Note: By default, Paradox Admins, Company/Account Admins, Full User - Edit Everythings, Power Users, and Franchise Owners will have full access to this permission. All other users but Basic/Limited Users will have view access to the Messaging Templates section of the CMS.
    • Access to using templates in the Candidate Profile – This access is granted on the messaging templates themselves.

    Permission to using messaging templates in Campaigns and Workflows are based on access to those products.

     

    Permissions to the candidate's conversation

    Users can be granted access or prevented from communicating with the candidate freely and/or using messaging templates. This ensures that messaging is in line with the company’s brand and desired candidate experience.

    You can provide or restrict access to the Candidate Profile’s conversation box and its functionality by adjusting user permissions in the following ways:
