User role mapping Upload a one time file Scheduled sFTP Employee Feed setup Ignore file updates

Important Note for User Files: An Ignore File Updates toggle is listed on the user's profile that, when enabled, will prevent the employee’s data from being updated even if their name is listed on a user file.

Employee/user feeds allow your management team to keep Employee Profiles updated in the system with one-off and scheduled feeds.

    User role mapping

During Implementation, your CS Representative will work with you to set up many-to-one user role mappings (multiple different roles to the same user role). If this needs to be adjusted at any time, contact your CS Representative.

    Upload a one time file

To upload a one-time file, follow the steps below.

    1. Select the All Apps menu in the top left corner of the header and then Settings from its drop-down menu.
    2. When the Settings page opens, select Data Feeds under the Automation section.
    3. The Data Feeds page will open to the Employees (One-time) list. Select the Upload Employee File button.
    4. In the slide-out drawer that opens, drag a file or browse to select the CSV file that you want to upload.
    5. Once a file is selected, you will see the following three rows. Map the file values in the Import As row:
      • CSV Column row will display the top level row of the file (example: First Name, email, role, etc.)
      • The Example Value row will be the second row values in the file (the first user in the file)
      • The Import As row is where file values are mapped to Paradox values. Map the file values to Paradox values. You can map the following values:
        • Standard Employee Attributes
        • Custom Employee Attributes
        • Additional Data (such as Action, Area ID, Area Name, Location ID, Removal Area ID, Removal Area Name, Removal Location ID, Timezone Format, or Timezone Sync)
          • Note: For more information on required file structure / values see chart here.
    6. A Map User Roles section will display where all Paradox roles within the client account will be displayed (Company Admin, Full User etc.). For each Paradox role, input the value in the client file. If more than one value on the file maps to a Paradox role, click Add Value to add the additional value.
      • Note: For users added through Data Feeds, a welcome email will not be sent. Users can use the forgot password functionality to set up their accounts.
    7. Select the Upload button.

    Scheduled sFTP Employee Feed setup

The max file size is 10 MB.

Please note: For Data Feeds, the folder structure should be {username}/{systemid_companyid}. Reach out to your Paradox Admin to get this folder.

Gather all of the IP addresses that you will be connecting to the sFTP from (these will be used for whitelisting your network(s)) and provide them to your CS Representative to set up the feed for you.

    Ignore file updates

If you want certain employees to not have their data updated via feeds, then complete the following steps.

    1. Select the All Apps button in the top left corner of the header and then Settings in its drop-down menu.
    2. When the Settings page opens, select Roles and Permissions under the Permissions section.
    3. The Roles and Permissions page will open to the All Active Employees list. Click into the desired user name's row.
    4. A slide-out drawer will open. In the Employee Permissions section, toggle on Ignore File Updates.
    5. Select Save in the bottom right corner of the drawer.
