Create a document/form in the Paradox platform

You can easily build a document or form within the Paradox platform in order to support your company's documentation needs for hiring candidates or gathering information from users. This page walks you through the process for creating new documents or forms within the system.
Create a new document
Users with full access to Forms can easily create a new document within the Document Builder by following the steps below.
- Navigate to the Document Builder via the CMS Media Library or Form Builder.
WARNING: The document you create will either live in the CMS Media Library or Forms, depending on where you accessed the Document Builder.
Name and Upload section
- The Document Builder will then open to the Name and Upload section. Drag and drop a file or click the upload box to browse for a file.
- Note: When uploaded, a preview of the document will display on the lefthand side of the screen.
Important Notes:
- The following file types can be uploaded for a one-time upload: .csv, .xls, .xlsx, .doc, .docx, .ppt, .pptx, .png, .jpg, .jpeg, .rtf.
- The maximum file size is 100 MB.
- You cannot upload encrypted PDFs into the Document Builder. This requires you to remove encryption using external tools prior to uploading the PDF into the Document Builder.
- Enter a name for the document. The maximum character limit is 150.
- Select a System Attribute to map the document to. This allows it to be used in other parts of the system.
- (Optional) Enter alternative text to aid screen readers in reading the document. The maximum character limit is 120.
- An Additional Settings box will display at the bottom of the page. Toggle on Append Audit Log to Document if you want to record all of the document edits by a user or candidate. This includes the date and time, IP address, username, action, and action details for all edits. This will be added to the document for every downloaded version, and you’ll be able to see all changes from the previous document in red, as well as an audit log on the last page of the downloaded document.
All users that have document access are able to view the edit history when this feature is enabled. You can view the audit log in the Hire Details section of a candidate in the Candidate Inbox and/or in Forms when the form is in-progress but the document is submitted.
- Select Next in the lower-left corner of the builder window.
Choose Document Type section
- Select the type of document it will be. Options include:
- Fillable Document – Collect information by allowing candidates or employees to enter information directly into this document. When selected, move to step #9 to configure different fields onto the document.

Document to Review – This will save the document as view only. No information can be entered on the document itself. When selected, select Publish in the lower-left corner of the page. Your process will end here.
- Note: This document will then live in either the Media Library of the CMS or Forms, depending on where you accessed the Document Builder.
- Select Create in the lower-left corner of the page.
Make Fillable section
This section is only available when the document type chosen is Fillable Document.
In the All Fields panel, configure the document based on your needs. To do this,
- Select an existing field in this panel or add a new field by either:
- Selecting Add Field in the upper-right corner of the All Fields right panel.
- Dragging and dropping the field from the right panel into the document.
- Enter the Label, or name, for the field.
- Select the field type you want to configure on the document from the dropdown displayed under the Label field.

- Adjust the width (W) and height (H) of the field on the document, as needed.
- A Choices section will display when a Choice field type is chosen. Enter the first option and then click + Add Choice to add additional choices.
- In the Settings section, toggle on/off the Mark as Required setting, if enabled for updating, to mark the document as required or optional, respectively.
- Select the audience who will be completing this document field from the Completed By setting.
- (Optional) Check the Hiring Team Can Edit box to allow the hiring team or direct manager to update candidate information when a signature is not configured on the document.
- Select the System Attribute assigned to the field from the list of either Standard or Custom Candidate Attributes that have been uniquely created to store the data captured in this field.
- Note: When data is stored in that attribute from other parts of the system, it will populate the field that attribute has been mapped to. The candidate / user will not need to input the same data twice.
- If relevant, select the Validation type to ensure that the candidate answers the information in a correct and valid way. Click here to learn more about preconfigured form validations and here for custom validations.
Delete Field: You can delete a field by selecting the trash icon in the upper-right corner. This does not apply to PDF documents that have been encoded using third-party/other external systems.
- Click the back arrow next to the field name.
- To add a box or line to the document to reflect the preferred field shapes, select the shape icon to the right of the + Add Field button in the right panel and then select either Rectangle or Line.
- From here, format the width, height, and Stroke Color of the field.
- Move this shape to the correct field.
Delete Field Shapes: You can delete any field shape by selecting the shape and then tapping Delete on your keyboard.
- Repeat steps #10-23 for all fields.
- Once you are done configuring the PDF and have added all desired fields, select the Preview button in the upper-right corner of the document box to preview the document and ensure that all fields are correctly configured.
- Select Save next to Preview to save your fillable document.
Choose experience section
You’ll only see the Create Guided Document option if the document meets the following requirements listed below:
- It is a fillable document with encoded fields.
- All encoded fields and attributes map to store collected data.
- There are more fields configured than a signature field.
Once you are finished configuring your fillable document, you can choose how you want the document to be completed from the following options:
- Save as Fillable Document – Select this option to save and publish your fillable document as configured.
- Create Guided Document – Select this option to build step-by-step guided questions for candidates or users filling out the document.

Publish the document
To publish the document, select Publish in the lower-left corner of the page to publish the PDF to either the CMS Media Library or Forms, depending on where you accessed the Document Builder. If you created a fillable document, it will now populate in either the CMS Media Library or Forms.
