Talent Communities are a way to capture candidates in either a pre-apply or post-apply context in order to help nurture and engage with them in order to give recruiters/sourcers a warm source of talent for the organization.

Configuration
In order to configure Talent Communities, a few toggles/conditions need to be met.
Step #1: Enable feature
Step #2: Create a Talent Community conversation
Once Talent Community is enabled for your account, you will need to create a custom conversation that a candidate will go through when they are placed in a Talent Community. Each Talent Community targeted conversation will require the user to include a Community of Interest question, in which a candidate will self-select and move into the community of their choice.
- Note: The only options to this question will be active communities. These options will automatically update over time.
To create a Talent Community conversation, complete the following steps.
- Navigate to Conversation Builder.
- Click the + Add Conversation button and then Add Custom Conversation from its drop-down menu.
- Name the conversation and click out of the Conversation Name field.
- Select Talent Community candidates as your Conversation Targeting.

- Add any questions that should be included in this conversation. Questions can be added by clicking the plus icon and then Next Question. Learn more about building custom conversations here.
- The second to last question added should be a Community of Interest question, which is required in order to direct the candidate into their preferred community and to dictate the content that they receive over time while in the community. To add this question, begin by once more adding a question, and then in the Question Type box, select Community of Interest and then click Apply.

- Add a title to the Community of Interest question. All active Talent Communities, if created, will populate below this question along with the Community Screening section.

- The last question added to this conversation should be a Community Specific Outcomes action. This question will ensure the candidate moves into any community-specific screening questions. Add this by adding a new question and then selecting and applying Community Specific Outcomes as the question type.

- An End of Conversation section will be added to the bottom of the conversation when step #8 is completed. From here, click into the conversation’s status and then click Publish.
Step #3: Set backend settings
Your CS Representative will need to return to the backend to select the Talent Community conversation built for your account.
Step #4: Configure Talent Community in workflows (if applicable)
If the Candidate moved to Talent Community Journey option is selected as an Engagement Option on the backend, then you will need to setup the workflow to allow this conversation to occur.
- Navigate to Workflows.
- Open an existing custom workflow.
- Click + Add Task.
- Name the task on the page that opens.
- Click + Add Trigger, and then Candidate Status Updated to the preferred status (commonly a disposition status).
- Click the plus icon below the Start Point box and then click the Send Talent Community Opt In action from its drop-down menu.

- By default, All Communities will be selected as the opt-in community. This means that upon accepting the opt-in, the standard Community of Interest (COI) question will include all active communities as choices for a candidate to choose from in the conversation. However, in the event where the recruiter wants a particular candidate or group of candidates to join a specific Talent Community, they should select the individual community from this dropdown. This includes public communities and private communities.

- Ensure to save and then publish the workflow.
A workflows opt-in message for Talent Community Journeys will delay the trigger by 3 seconds in order for the primary_contact_method to be saved on the Candidate Profile.
Step #5: Create Talent Community Journeys
Similar to a group and or job, candidates in the Talent Community will be assigned to a Talent Community-specific journey. A general journey can be created or specific journeys can be created depending on the your job types. In order to configure a Talent Community Journey, complete the steps below:
- Click the All Apps button in the top left corner of the header.
- Click the Settings app.
- Click Journeys under the Automation section.
- Navigate to the Talent Community Journeys section of System Journeys.
- Click + Create New button in the top right corner of the page.
- In the modal that opens, enter a name for your new journey and then click Create.

- The journey will then be added to the list. Click the journey to open it and then add and/or adjust the journey as needed by following the steps outlined here. Talent Community Journeys commonly have the following stages:
- Capture
- Scheduling
- Assessments
- Custom
- Ensure to save and publish the journey once it’s completed.
- Click Save Changes in the top right corner of the page.
- Click Publish Journey in the bottom of the left panel.
Step #6: Create your Talent Communities
Create all Talent Communities that will be tied to your account from the Community Management page. Learn how to create and manage Talent Communities here.
Step #7: Create your Talent Community segments
It is important to create segments both initially and as your Talent Communities expand in order to easily track and review candidates.
- Navigate to the Talent Community page by first clicking the All Apps button in the top left corner of the screen and then Talent Community from its drop-down menu.

- When the page opens, click the filter icon to the right of the search bar.
- In the filter modal that opens, filter candidates in your talent pools by the communities assigned to them. Create Talent Community segments for any subset of candidates.

Step #8: Create folders for candidates (if applicable)
Users can organize and segment candidates into custom lists for targeted action, such as mass invitations or internal tracking, by creating folders.
To create a folder, follow the steps below:
- In the Candidates, Communities, or Segments section, select the checkbox(es) next to each candidate that you want to add into the folder.
- Select Take Action, and then from the dropdown menu, select + Add to Folder.
- You can take the following actions:
- If you already have an existing folder to add candidates into, you can select the folder from the dropdown menu and then select Apply.
- If you haven’t created any folders yet, select +Create Folder.
- Note: You can only select up to 100 candidates at a time.
- In the Create Folder slide-out drawer, update the following details:

Name – Name the folder.

Privacy Type – Select the privacy type of the folder. You can select from the following options:
- Private – This folder type is visible only to you by default. You can add other users to folder, setting custom access as needed.

Public – This folder type is visible to everyone accessing the talent communities based on their user permissions and standard visibility rules.

User Access – If the Privacy Type is set to Private, this section displays. Select + Add Users to add users. You can select from the following options:
- Users – This displays a list of individual users. Select the checkbox(es) next to each user you want to access the folder, and then select Save.

Roles – This displays a list of user roles in the account. Select the checkbox(es) next to each user role you want to access the folder, and then select Save.

Name – Name the folder.
Once the folder is created, it displays in the Folders section in the left sidebar. You can select the folder to view a list view of each candidate added to the folder.

Candidate notification logic
The communication channel by which a candidate will receive a campaign via SMS or email will depend on both the communication channel specified in the campaign as well as the candidate’s preferred communication method.
Your AI Assistant will follow this logic hierarchy to determine how the candidate receives the campaign.

Start interactions with candidates in Phone Numbers using the Talent Community conversation configured in step #3. This can be configured for:
- A.I. Phone Numbers
- Short Code Keywords
- Phone Number Keywords
- Toll-Free Keywords
Web Management
Create a Talent Community landing page or widget conversation in Web Management to launch the Talent Community conversation directly and capture candidates.
Additional logic considerations
- When a candidate is in the Talent Community, a new candidate ID will be generated against their profile. This will look similar to our multi-app logic where a candidate can be in multiple “jobs” at one time.
Permissions
The following permissions are available specifically for Talent Communities:

Talent Community – Full access to this feature will allow you full capabilities to the below permissions:
- Community Management – Full access to this permission includes the ability to create, edit, view, and activate/deactivate Talent Communities and the details associated with them.
- Talent Community Inbox – Full access to this permission includes the ability add candidates to a Talent Community or view a listing of candidates within each Talent Community, including those that require action and who are not tied to a specific community.
- Access All Candidates – Full access to this permission ensures that this user role will be able to access all candidates within the Talent Community. By default, all user roles will have this permission to set No Access.
FAQs
If a candidate is manually added to the system and they opt-in to a community via email, which conversation takes place?
When a candidate is manually added to a Talent Community and then they opt-in to a community from their email, then the Talent Community conversation should be initiated. If a workflow was created to take place once a candidate reaches a Capture Complete status, then the Talent Community conversation will take precedence over the workflow.
