    Users can build reports from scratch or from report templates in a new and enhanced Report Builder.


    Create a report

    Step #1: Build the report

    All changes made to your report will be auto-saved.

     

    Due to security restrictions, direct linking to resume documents (i.e., clickable resume links) from reports is not supported. The resume attribute value may appear in reports, but links will not be clickable and attempting to access them directly may result in an error. This is expected system behavior to protect candidate data and comply with security protocols. 

     

    You have two options when building a report: creating a report from a template or from scratch.

    Option #1: Use a report template

    Creating a report from a template is highly recommended due to the fact that key data points are already pulled together for you. Once a template is selected, you can use it as the foundation for your report and then either remove existing fields or add new fields to pinpoint the most valuable datapoints you are wanting to pull.

    1. Select the All Apps menu in the upper-left corner of the header and then Analytics in its drop-down menu.
    2. Select the Reports & Charts section in the left panel and then All.
    3. Select the + Create New button in the top right corner above the list.
    4. In the new page that opens, select one of the templates displayed under the System Templates section. Click here to learn more about these templates.


       
    5. On the next page that displays, determine which metrics and fields should display in the report. By default, all report metrics and fields will be selected, but they can be deselected by simply selecting the metric(s) and field(s) that you want removed.
      • Note: Metrics and fields can be added back to the report from the next page of the Report Builder. More details on these actions are explained in steps #5-7 in the Option #2: Start From Scratch section below.

    Option #2: Start from scratch

    Creating a report from scratch provides the ultimate flexibility in pulling a range of datapoints. It is important to know that when metrics and fields are added to the report, other metrics and values will be filtered out if they do not correlate or tie to the first selected values.

    1. Navigate to Analytics and Reporting.
    2. Open the All Reports section.
    3. Select the + Create New button in the top right corner above the list.
    4. In the new page that opens, select the + Create New option.


       
    5. In the next page, you can add metrics or fields to your report. It is highly encouraged to add 2-3 key metrics to your report first that encompass the most impactful details that you are pulling in your report. To do this, click the plus icon next to Metrics and then select Add next to the metric you want to add from the list that opens. Click here to learn more about available metrics and fields.
      • Important Notes: 
        • If starting with metrics: The first metrics selected are the most important as non-related metrics will be filtered out depending on this selection.
        • If starting with fields: You will not be able to add metrics, as metrics encompass an accumulated value, which cannot be compared towards the individual value of a field.


           
    6. Continue to select the metrics that you want to add to your report by searching for them from the search bar or scrolling down the list and then selecting Add next to them.
    7. Once your key metrics are added, you can then add fields by clicking the plus icon next to Fields, selecting a category, and then selecting Add next to the fields you want to add from the list that opens.

    All custom attributes configured for your account are available to use as fields and filters in the report builder.

     

     

     

    Step #2: Filter report fields and metrics

    You can filter a report’s fields and metrics as needed to better capture the data you are wanting to assess. This can be done in one of two ways:

    • Filter Section – You can easily filter a single metric or field from the Filter section by completing the steps below.
      1. Select the plus icon next to the Filter section.
      2. In the modal that opens, select either Fields or Metrics.


         
      3. Select the specific field or metric that you want to filter.
      4. In the new page of the modal, select the preferred Operator, enter a Value, and then click Apply to add the filter to the field/metric. 
         
    • Direct Metric/Field Filter – You can easily filter a single metric or field from its corresponding section by completing the steps below.
      1. Hover over the field/metric in the left panel.
      2. Select its filter icon that displays.
      3. In the modal that opens, select the preferred Operator, enter a Value, and then click Apply to add the filter to the field/metric. 


         

    Once a filter is applied to a single field or metric, it will display in the Filters section for easy review.

    Edit or remove filters

    Filters can easily be edited or removed from the Filters section as needed.

    • Edit a filter – To edit a filter, select the preferred filter in the Filters section to open a modal where you can make and apply any changes.
    • Remove a filter – To remove a filter, hover over the preferred filter and select the Remove option that appears to the right of the filter.

     

    Step #3: Rename, remove, or reorder fields/metrics (optional)

    You have the option to complete the following actions in either the Fields or Metrics section of the Report Builder:

    • Rename a field/metric – Hovering over the field or metric name will display a pencil icon next to it. Click this to make the name editable and then enter in the preferred name. Tap Return / Enter on your keyboard in order to apply the change to your report.
    • Remove a field/metric – Hovering over a field or metric will display a Remove option. Select this to remove the field/metric from the report.
    • Reorder fields/metrics – Hovering over a field or metric will display a multi-dot icon that, when clicked, will allow you to drag and drop the field/metric into the preferred order within its corresponding section.

    You can only reorder fields and metrics within their sections from the left panel. You cannot reorder fields and metrics within the report columns.

     

     

    Step #4: Update report timeframe

    When one or more field(s) and/or metric(s) are added to the report, then a Timeframe selector will display below the report’s title. Click this to view a list of all timeframe options and make your desired selection. Options include:

    • Custom Date Selection (this will require you to select a start and end date)
    • Custom Duration
      • You can toggle between Last (for past data) and Next (for future data), enter a number, and then select from the following units of time: 
        • Hours
        • Days
        • Weeks
        • Months
        • Years
    • Last 7 days
    • Last 30 days
    • Last 3 months
    • Last 6 months
    • All Time

    Custom Date selection

    In selecting Custom Date Selection, the Timeframe menu will expand to allow you to select either a specific date range or before or after a specific date. If you’ve selected Select Date(s), then you will be able to select a start and end date for the report. If you’ve selected After or Before, then you will only be able to select a single date, ensuring that the report pulls data relative to your selections.

    Once the desired date selection is made, select Apply to apply the custom timeframe.

    Step #5: Customize the report display (optional)

    By default, all reports with only fields will display as a table whereas when metrics are added, the chart type will update based on the metrics selected. Regardless of the default chart type, you have the option of updating the display to a table, bar graph, a line graph, or a scorecard. To access the report display, select Customize in the top right corner just above the report’s table and then update the Display As selector.

    Table

    The Table chart type will display all data in a table view.

    Bar chart

    The X axis has a maximum limit of 50 values.

     

    When Bar is selected, all data will display in a bar chart. You can hover over any bar to view its specific data values. From the righthand side, you can configure the following settings:

    • Horizontal Chart – Toggle this on for the chart’s data to display horizontally rather than vertically. By default, this will be disabled.
    • Stacked Bars – Toggle this on to stack data series on top of each other in the chart. When enabled, the Absolute / Percent bar will display. By default, this setting will be disabled.
    • Absolute / Percent – This bar will display when Stacked Bars is toggled on and allows you to display the data as an exact number or a percentage, respectively. By default, the data will display the Absolute values.
    • Value Labels – Toggle this on to include the exact values of each data point displayed on the graph. By default, this will be disabled.
    • Trend Line – Toggle this on to view the overall trend of the displayed data. By default, this will be disabled.
    • Colors – The default colors assigned to the data series or category. These colors can be updated by selecting the preferred color and then choosing from the options in the dropdown that opens.
    • X-Axis – The first field listed on the report. This can be updated by selecting this setting and choosing from the list of available fields.
    • Y-Axis 1 – The first metric listed on the report. This can be updated by selecting this setting and choosing from the list of available metrics.

    Line chart

    The X axis has a maximum limit of 50 values.

     

    When Line is selected, all data will display in a line chart. You can hover over any point to view its specific data values. From the righthand side, you can configure the following settings:

    • Value Labels – Toggle this on to include the exact values of each data point displayed on the graph. By default, this will be disabled.
    • Trend Line – Toggle this on to view the overall trend of the displayed data. By default, this will be disabled.
    • Colors – The default colors assigned to the data series or category. These colors can be updated by selecting the preferred color and then choosing from the options in the dropdown that opens.
    • X-Axis – The first field listed on the report. This can be updated by selecting this setting and choosing from the list of available fields.
    • Y-Axis 1 – The first metric listed on the report. This can be updated by selecting this setting and choosing from the list of available metrics.

    Scorecard (KPIs)

    When Scorecard (KPIs) is selected, all data will display in individual cards. You can hover over any card to view its specific data values. From the righthand side, you can configure the following settings:

    • Card Color – The default color assigned to the data series or category cards. This color can be updated by selecting the preferred color and then choosing from the options in the dropdown that opens.
    • Shadow – Toggling this on will enable a shadow behind the cards. By default, this will be disabled.

    Step #6 Rename report and add a description

    Update the name of the report to best reflect the data pulled for it. You also have the option of adding a description to your report by selecting the placeholder text under the report name, adding the preferred content, and then clicking outside of the text box to close out the editable.

    Step #7: Publish the report

    When the report is fully configured, publish the report to mark it as available for use by clicking the Draft status and then Publish in its drop-down menu. Users with view or full access to reports will be able to view this report in the All Reports list.


    Edit a report

    To edit a report, full access users can click into a report from the All Reports list or hover over the preferred report; click its action menu, or ellipses; and then select Edit Report. The Report Builder will then open where you can make your changes.

    Once all changes are made, click the Unpublished status and then select Publish.

    Editing logic

    • As soon as an edit is made to a report, it will move the report to an Unpublished status.
    • Updates to the report will be auto-saved for you.
    • Full access users can see real-time auto-saved updates in an Unpublished status.
    • View access users will only see Published reports, even when a report is in an Unpublished status.
    • Any reports shared in an Unpublished status will be visible to full access users.
    • Scheduling Reports in an Unpublished Status Logic:
      • If a report that you are editing is scheduled to send, the previously published version will send until a new version is published.
      • You cannot schedule new reports to run when they are in an Unpublished status.

    View and restore a previously published version

    If an edit was made to the report but the change is no longer needed, you can easily restore the report to its previously published version. Click the Unpublished status on the report and then select Published. The last published version of the report will then display in the builder.

    Select the Restore button that displays in this menu to return the report to its previously published version.


    Duplicate a report

    To duplicate a report, full access users can hover over the preferred report in the All Reports list; click its action menu, or ellipses; and then select Duplicate.

    The report will then be duplicated with (copy) appended to the report’s name and displayed below the original version of the report in the list. In addition to this, a confirmation of the report’s duplication will display at the bottom of the page.

    The user can then edit, rename, and publish the new report.

    Schedule a report

    After a report is created, it can be scheduled to run at designated times. Click here to learn more about scheduling/running a report.


    Delete a report

    If a full access user wants to delete a report, then they can hover over the preferred report in the All Reports list; click its action menu, or ellipses; and then select Delete. A warning modal will then display where the user will confirm the deletion of the report. The report will then be removed from the list.

    Once deleted, any scheduled reports will be stopped from sending.

    Recipients of a deleted report will not be notified that it was deleted.

     

    Permissions

    By default, no users will have access to creating and managing reports. This must be granted per user role.

    Some reports have extra rules that control data access based on your user role.

    • Employee Action Activity Report: For a standard user, this report will only display actions they have personally performed. Administrators, however, have a comprehensive view of all user actions.
    • Workflow Configuration Report: A standard user can only view workflow configurations they are permitted to see. Administrators can view all workflow configurations across the system.
