    Messaging a candidate and viewing their conversation

    The Conversation box within the Applications tab shows the candidate's conversation with your AI Assistant and any other users who may have messaged the candidate. Messages can be sent from this box as free-form messages or through the use of messaging templates, and the conversation will include milestones of different statuses or actions taken place since the candidate first initiated the conversation.

    • Note: When the clock icon is highlighted in blue, then the candidate's journey status changes will be included in the conversation.

    Designated conversation responder

    The designated conversation responder is the persona that candidates will receive messages from throughout the hiring process. This can be set to your AI Assistant, the user, or both, and is set on the backend by your CS Representative. If you see a downward arrow next to your AI Assistant's avatar in the conversation, you can select this to determine the persona used for sending this message: you or your AI Assistant.

    Important Notes: 

    • If a candidate messaged in a language different from your selected platform language, then milestones will display based on your default platform language. The Multilingual feature will not need to be enabled for this functionality.
    • The limit of how many messages that are visible in the candidate conversation is 250 messages.
     

    Contextual text editing

    If your company is using the Contextual AI feature, you may have the option to utilizing text editing, where you can highlight text and then have your AI Assistant edit that text based on tone, length, and emojis. Click here to learn more.

     

    Using messaging templates

    Messaging templates can be used to streamline the hiring process and ensure communications to candidates are consistent in style. For users that have both access to the Candidate Profile and the use of messaging templates within the conversation, they can access English messaging templates in one of two ways:

    1. Select # next to the free text field or click into the free-text box and then Templates that appears above the box to select the message that they want to send.
    2. Type # in the free text field and then either select the preferred message or type in the messaging template name (e.g. #apply).

    When you have entered an input greater than 160 characters for SMS, then the character counter will turn orange and a warning message will display under the text box.

     

    Once a template is selected, the message will then auto-populate in the message field and can be edited, if preferred. They will then have the option to:

    • Send Now – If the user wants to send the communication immediately, then they can click the blue send arrow.
    • Send Later – If the user wants to send the communication at a later time, then they will need to complete the steps below.

    Multilingual templates

    Multilingual templates will display in English from the Candidate Inbox. When templates are sent to the candidate, they will be auto-translated to the candidate’s preferred language.


    Scheduling messages

    Any message or template that is manually entered can be sent immediately or scheduled to send at a later time. To schedule a message,

    1. Click the Send Later button that appears above the message.
    2. In the modal that opens, select the date, time zone, and time that the message will be sent.
    3. Select Schedule in the bottom right corner of the modal.
    4. The scheduled message will then be listed above the free text field with the option to View the message, if needed.

    Edit or remove a scheduled message

    Scheduled messages can be edited or removed by,

    1. Click the View button listed to the right of the scheduled message.
    2. A slide-out drawer will open where you can edit the message or remove the scheduled message entirely by clicking the trash can icon in the top right corner above the message. 
    3. Select Save in the bottom right corner of the drawer.

    Messaging character count

    The messaging character count for the candidate's conversation is as follows:

    • SMS = 640 character limit
    • Email = No character limit

    Explicit content

    If content sent via a form or uploaded by a candidate is deemed explicit by the system, then it will be automatically marked as sensitive and blurred from users' view. However, at any time, you have the option to manually blur images for yourself and/or others. Learn more about explicit/sensitive content here.


    View and download Terms & Conditions

    1. Navigate to the candidate’s profile.
    2. Within their conversation with your AI Assistant, click the View Terms linked text within the Terms accepted milestone.
    3. A modal will open where you will be able to view the Terms & Conditions as well as the candidate’s name, communication method used, date, and time associated with them agreeing to these terms. Click Download to download their specific agreed to Terms & Conditions or click Close to close the modal.

    Permissions

    You will need access to the Messaging permission to view and/or contact candidates from their Candidate Profile. You will also need access to the Messaging Template permission to gain access to and send messaging templates to candidates. Contact your CS Representative to grant or restrict your access to these permissions.
