Define your default interview preferences
Table of Contents
If you are actively working in the system, you can set your default interview preferences. These settings will populate into a scheduling request when you manually schedule a candidate to an interview. This is beneficial for recruiters who complete a lot of similar interview requests on a regular basis.
To set your default interview preferences,
- Select the All Apps button from the top left corner of the header and then the My Calendar/Calendars app from its drop-down menu.
- When the calendar opens, select the calendar's action menu, or ellipses, in the top right corner of the calendar.
- Select Calendar Settings from its drop-down menu.
- From the Interview Settings section, scroll down until you see Default Interview Preferences.
- Select your preferred interview details.
- Include me on the list of attendees for interviews I schedule – This will be toggled on by default. This setting will include you as an interview attendees for all of the interviews you schedule, even if you are not added as an interviewer.
-
Default Type – This is your preferred type of interview.
- Note: The interview types available in this selector will vary depending on the settings enabled for your account.
- Default duration – This is the default length of time for your interview.
- Default interview location – This will display only for in-person meetings and allow you to select your preferred interview location.
-
Interview start time control – This allows you to set the intervals at which your availability is displayed to Candidates. This helps to limit sporadic gaps in your day by showing random interview times. Options for this setting include:
-
Start Time – This will determine the increment of time that interview times will be presented to the candidate. Options include:
- Any available time (15/20 minute cadence of times presented, starting whenever the first availability is)
- Every hour (hour increments; e.g. 8 am, 9 am, etc.)
- Every 30 minutes (30 minute increments; e.g. 8 am, 8:30 am, etc.)
- Every 15 minutes (15 minute increments; e.g. 8 am, 8:15 am, etc.)
-
Buffer Time – This will determine the amount of time blocked off between interviews in order to debrief or take action after an interview. Options include:
- Schedule interviews consecutively (the times in your calendar are prioritized to always schedule interviews back to back)
- 5 minutes
- 10 minutes
- 15 minutes
- 20 minutes
- 25 minutes
- 30 minutes
-
Start Time – This will determine the increment of time that interview times will be presented to the candidate. Options include:
-
When filling group interviews with multiple candidates – This setting will allow you to determine if group interviews should have all candidates first before scheduling or if those included in the group should be scheduled to any available time.
- Note: It is recommended to select Fill existing group first for this setting.
- Click Save in the top right corner of this section.
When displayed to candidates, the start/buffer times will reflect the selection made in My Profile while the times that do not match those start times will be displayed as unavailable in the calendar.
Start time logic
- Sequential Interviews: Due to the unexpected problems of applying Interview Start Times to sequential interviews, system logic will verify only the first slot in a sequence to minimize the impact on the current slots logic.
Buffer time logic
-
Sequential Interviews:
- Same Interviewer. Buffer times will not take place between the sub-interviews of an In Order sequential interview. Sequential interviews should be considered as back to back interviews.
-
Different Interviewers. Buffer times between In Order sequential interviews will be dependent on the next interviewer’s buffer times.
- For example, if User A has a buffer time of 5 minutes and User B has a buffer time of 15 minutes saved on their My Profiles, then when Interview #1 is scheduled with User A, Interview #2 with User B will include a buffer time of 15 minutes from the end of the scheduled Interview #1 time.
-
Round Robin Groups:
- Interview scheduled with User A and User B who have different buffer times/interview start times. Your AI Assistant will check the availability of each user according to their buffer/start times and present times to the candidate where they align.
- Optional Attendees: Your AI Assistant will take into consideration the attendee’s buffer/start times, but ultimately, they can still be scheduled even if it breaks their set Interview Start Time Control setting.
- Updating an Interview: An error will display when an interviewer is updated on an interview and the scheduled interview time conflicts with the buffer/start times set on their My Profile.
Default interview instructions
From the Interview Settings section of your My Calendar Settings page, you can add default interview instructions for each of the main interview types that will be automatically added to the scheduling request by default. This is helpful for similar interview requests or giving basic instructions that will always apply for different interviews.
